Job overview

Due to expansion of our service, an opportunity has arisen for a mobile clinical administrator to support our friendly teams at the Avondale Unit, Royal Preston Hospital

Your flexibility is a must as you will be required to provide vital cover to our Central Home Based Treatment Team and Mental Health Liaison Team. You will be provided with a schedule which will detail which team you need to support. You may not need to sit in with the team you are providing cover for, but you will need to work within the Avondale unit and not remotely as per the needs of the service.

Providing much needed support to our service users is our primary focus. The role can be demanding at times as our team are the first point of contact for our service users and their support networks.

Compassion and empathy is a must as at times you will be exposed to challenging situations which require you to be supportive from the moment you pick up the phone.

Remaining calm and focused, with the support of our clinicians you will be rewarded knowing you have provided assistance at a time that it was needed.

You will have proven experience of minute taking in multi-disciplinary clinical team meetings, you will be required to support our teams remotely via teams so a high level of communication is needed.

Main duties of the job

A flexible approach is needed as every day can be different. Experience of working in a busy office with a clinical workload is preferred with previous exposure of working with the public essential.

You will be required to take large volumes of phone calls that are varied in nature as well as completing vital clinical administrative support which includes processing referrals, clinical letters and arranging weekly teams meetings for a multi-disciplinary team.

Although always supported by the wider team, you must have relevant experience of managing your own workload and multi-tasking with a busy, varied workload.

Full time over 7 days including weekend and evening cover 8am-8pm

  • NVQ Level 3 in Customer Care or Business Administration – or equivalent experience

  • Knowledge of a range of administrative procedures and practice.

Experience

Essential criteria
  • Previous experience as a Secretary/Administrator including diary management
  • Previous experience of working in a fast moving, confidential, sensitive, pressurised deadline driven environment.
  • Experience of supporting and minuting meetings.

  • Takes a pro-active approach to tasks.
  • Ability to communicate effectively at all levels using e-mail, telephone or face to face.
