Are you passionate about providing exceptional administrative support to a team? Are you able to ensure confidentiality when handling sensitive information? If so, you might be the person we need to join our team! 

We are looking for a competent and professional Ward Clerk for our children’s ward, which is a 22 bedded ward providing inpatient care to emergency and elective patients aged between 10 days and 16 years. As a Ward Clerk you will act as the focal point for the Ward and the team, confidentiality and patient safety being key at all times. 

You will provide a high standard of administration support to the Ward Manager, medical and nursing staff and the wider team; interacting with other departments, patients and their visitors. You will monitor and manage the Electronic Patient Records system on the ward, ensuring an up-to-date bed state. You will respond to requests for information promptly and efficiently using a variety of communication methods, ensuring that information is accurate and meets governance standards.

Main duties of the job

To be an integral part of the Paediatric Unit team, providing efficient secretarial and clerical support. 

The post-holder will provide an efficient, confidential and professional secretarial service to the Paediatric clinical teams. This will include administration and secretarial support to enable provision of patient care.

Detailed job description and main responsibilities

Greet all visitors to the unit in a friendly, helpful and courteous manner, maintaining ward safety as per operational policy.

Be involved in the training of new staff (with the support if the IT department) in use of the Trusts computer systems.

Order and maintain adequate supplies of equipment, printing and stationary.

Complete request for repairs, maintenance etc, as requested. Ensuring a good audit trail and follow up as required until completed.

Deal with personal effects and documentation relating to lost property and property belonging to patients who have died on the unit.

Undertake general clerical duties in the clinical area including completing records, filing, photocopying, handling mail and filing in case notes.

Provide an accurate account of bed management via electronic systems e.g. admissions, transfers and discharges.

Answer the telephone, relaying any relevant messages when required.

Book any appointments needed for patients and ensure the patients are informed of times and dates.
