Job overview

We are looking for a highly organised, motivated secretary to join the team of administrators who support the health visiting service in West Berkshire. 

The ideal candidate will have excellent, IT (including the use of excel) and communication skills. 

The team are supportive and friendly and enjoy good working relationships with partner agencies. You must be a driver and have use of a car.  

Main duties of the job

  • Manage New Birth notifications and children transferring in and out of the area. Add to Monthly Team Planner as required. Book appointments directly into practitioner diary or to allocate as appropriate following local process 

  • Send out health related information and questionnaires as required and take appointment bookings 

  • Work closely with the health visiting team to include typing correspondence and confidential reports. 

  • Responsible for ordering, maintaining stock records and distribution of clinical equipment, health resource materials, patient leaflet information and stationery.  

  • Responsible for the accurate recording of data into database. 

  • Be a point of contact for clients, health professionals, social workers   ensuring appropriate and immediate action is taken. 

  • Assist in multi-agency referral processes between professionals  

  • Provide confidential, administrative support to the Health Visiting Team answering telephone enquiries, prioritising and answering routine correspondence and emails as directed. 

  • Able to accurately utilise computerised data entry programmes to enter, store and / or retrieve information for standardised reports. 

  • Able to support others inputting data.  

  • Assist in locating and accessing confidential information and maintaining security and confidentiality at all times. 

  • Maintain efficient administration and filing systems. 

  • Sort incoming post to appropriate staff
