 Our Reading based CAMHS Rapid Response team are looking for a Band 3 Administrator. In this role, you will be supporting our clinicians by answering phone calls, drafting and proof-reading letters, attending and minuting meetings, and managing shared inboxes and diaries. 

 Strong communication skills are essential as you will be liaising with other NHS services and the public via phone and email on a daily basis. You will need to have good attention to detail, be well organised and have demonstrable experience in using the Microsoft Office Suite including Word and Excel to a high standard.

 Your team, CAMHS Rapid Response, responds to young people referred in crisis. Clinicians offer assessment, and short-term community support to young people and their parents/carers. You’ll work alongside 2 other administrators supporting this busy, diverse and multidisciplinary team. You’ll find that staff have genuine job satisfaction and that learning and development is encouraged and nurtured.

Working hours will be between 09:00 – 17:00 Monday to Friday.  There may be opportunity to work 08.00 – 16.00.

Main duties of the job

  • Working as part of an administrative team, you will support our clinicians in sending out correspondence and booking appointments. You will answer emails and telephone calls, following up actions where required.  
  • You will need to be experienced in taking minutes at meetings, diary management and confident in using the full Microsoft Office suite including Outlook, Word, and Excel. 
  • You will also be required to work on your own initiative and demonstrate a willingness to help others as a key member of the team. 
  • The ability to build effective relationships, with a flexible approach to work is essential. 
  • You will be expected to be able to prioritise work and meet deadlines in order to fulfil the requirements of the post.
  • Carry out day-to-day organisation of systems to ensure the smooth running of the administration team.

Detailed job description and main responsibilities

The “must haves” for this role: 

  • Previous experienced of working in an administrative role with good attention to detail.  

  • Intermediate to advanced computer skills including Microsoft Outlook, Word and Excel.  

  • Experience answering phone calls in an office and/or customer care environment 

  • Ability to work effectively in a team and demonstrating accountability for own work

Education/Qualifications

Essential criteria
  • NVQ 3 or equivalent qualification/experience
  • Previous knowledge and experience of working in an office and/or customer care environment

Knowledge, Skills & Abilities

Essential criteria
  • Good interpersonal, communication, observation and reporting skills
  • Good/advanced IT skills and the ability to navigate around various systems and software packages (such as outlook, databases, MS office and the internet)
Desirable criteria
  • Car owner/driver and possess full UK driver’s license or evidence of ability to travel to designated base and other sites.

Additional Requirements

  • Ability to travel to multiple sites (delete as appropriate)
Desirable criteria
  • Assist in the provision of basic (non-clinical) customer care support to service users with challenging behaviors, as required.
