North West London Pathology (NWLP) is an NHS pathology partnership joint venture between Imperial College Healthcare NHS Trust, Chelsea & Westminster NHS Foundation Trust and The Hillingdon Hospitals NHS Foundation Trust. NWLP is modelled as a shared services organisation jointly owned by the three Trusts. The organisation is hosted by Imperial College Healthcare NHS Trust and as the legal entity for NWLP our staff are employed by Imperial College Healthcare NHS Trust.

NWLP is based on a ‘hub and spoke’ structure; the majority of routine, specialist and non-urgent activity is centralised at our hub site at Charing Cross Hospital. Urgent tests required for immediate patient management and treatment are performed in 24/7 Essential Service Laboratories based on-site within the seven hospital sites in the group.

Job overview

The post holder will become a part of Finance Division at NWLP and will have primary responsibility for preparing, negotiating, and managing the goods and services contract portfolio for NWLP, as well as overseeing service level agreements.

They will ensure appropriate systems are in place to secure contract compliance, identify material variances, and implement corrective measures. The post holder will manage relationships with internal and external stakeholders, including the provision of information to internal stakeholders to confirm effective contract management.

Main duties of the job

  • Assist in the development and construction of robust contract governance structure in line with NWLP and ICHT policies and principles. 
  • Lead on a portfolio of Contracts to aid development and understanding of the Contract process. Drafting and management of a portfolio of SLAs. 
  • Monitor and chase the return of Contract documents and supplier’s reports where necessary. To support changes in submission processes of data and KPI reports and ensure all contract documentation and associated documents are updated and maintained in the centralised computer-based filing system
  • Ensure a robust process and clear records are maintained in respect of debt recovery for all income relating to SLAs.  Use a variety of means to communicate with division colleagues and satisfactorily resolve activity and finance queries such that outstanding invoices are paid in a timely manner. 
  • Take the initiative in dealing with enquires from Suppliers and Clients that are within own control/remit and assist in the monitoring and day-to-day maintenance of portfolio, where necessary.
  • Provide support to the Contracts Manager in drafting reports, papers and letters, and organising and distributing papers, both internally and externally. Being responsible for the co-ordination of meetings both internally and externally.

NWLP Induction

The NWLP induction will run on the first Monday of each month (provided it does not fall on a bank holiday) and includes laboratory training (for relevant laboratory roles). All new staff must attend the NWLP induction during their first week with NWLP.

EDUCATION

Essential criteria
  • Educated to degree level or equivalent NHS experience
  • Excellent technical understanding of Microsoft Office (Access/Excel/Word) and ability to use functionality
Desirable criteria
  • Sound financial understanding of contracting

SKILLS/ ABILITIES

Essential criteria
  • Excellent organisation skills
  • Ability to work well under pressure and to tight timescales
  • Able to comprehend, analyse and evaluate complex information
  • Able to concentrate for long periods when inputting and analysing data / information.

EXPERIENCE

Essential criteria
  • Significant experience of working in a busy corporate team.
  • Experience of working with clinical/operational teams
  • Strong understanding of NHS contracting arrangements and familiarity with relevant NHS contract templates/ guidance/framework agreements.
  • Knowledge of NHS rules around patient confidentiality and data protection

  • Good knowledge of commercial contracting processes and mechanisms and significant experience of negotiating commercial agreements
