Administration Support Officer

Reporting to the Head of Governance & Performance, the postholder will provide a comprehensive range of administrative and secretarial services, within the Governance & Performance team, supporting work across departments as part of the NOECPC and NHS Supply Chain contract.

The postholder will provide a full secretarial and administrative service, having daily liaison with a wide range of staff at all levels. The Administration Support Officer will be responsible for ensuring the effectiveness of the office environment for the team, supporting the team with the management of projects, processing information and undertaking enquiries as and when is necessary for the organisation.

The role requires a dynamic approach to supporting various functions within a procurement organisation, for example:

•    Preparation of agendas and minutes, taking appropriate follow-up action as required

•    Providing a central point of contact to respond/resolve queries on behalf of the governance team and wider organisational departments

•    Where appropriate you will use negotiation and persuasive skills to communicate effectively e.g. arranging complex meetings, booking rooms, refreshments and venues

•    Be expected to deal appropriately with highly confidential and sensitive material on a regular basis in accordance with the Trust’s Information Governance Policy

•    Placing orders and processing relevant financial invoices/requisitions as and when required

•    Arranging travel and accommodation for colleagues as required, maintaining the recording and reporting of such details

The Leeds and York Partnership NHS Foundation Trust (LYPFT) is the main provider of Mental Health and Learning Disability services in Leeds. We also provide specialist inpatient services in York and some highly specialised services across the country.
