The salary scale for a Band 3 has been adjusted as part of the NHS Agenda for Change pay award for 2026/2027 and will be implemented in August 2026 backdated to 01 April 2026 where applicable.

 

Job overview

Are you a highly organised, professional and discreet Personal Assistant looking to support senior leadership within NHS Wales? We’re seeking a proactive individual to join our People Services team.

In this pivotal role, you’ll provide comprehensive, confidential support to the Associate Director for People Services. You’ll manage a busy diary, coordinate meetings and committees, prepare reports and briefings, and act as a key point of contact for colleagues across the Health Board and wider partners.

You’ll thrive in a fast-paced environment, juggling competing priorities while maintaining accuracy and attention to detail. Strong communication skills, excellent IT abilities, and experience in minute-taking and administrative coordination are essential.

This is a rewarding opportunity to play a central role in supporting workforce priorities and contributing to the effective delivery of People Services across the organisation.

The ability to speak Welsh is desirable for this post; Welsh and/or English speakers are equally welcome to apply. 

Main duties of the job

  • To provide effective, efficient, accurate, prompt and comprehensive administrative and secretarial support to the Associate Director for People Services
  • Ensuring high quality secretarial support is provided and ensuring effective communication between internal and external colleagues.
  •  The post holder will be able to react to and implement changes to service as directed by the Associate Director of People Services.
  • The post holder will be required to maintain strict confidentiality and discretion at all times.

Essential criteria
  • NVQ in Office Management or Administrative and organisational experience equivalent
  • Advanced knowledge of word processing and spreadsheet packages
  • Maths/English GCSE or equivilent
Desirable criteria
  • Evidence of CPD / personal development
  • NVQ 2

Experience

Essential criteria
  • Experience at a high level of providing a comprehensive administrative/PA service
  • Experience of setting up and using filing/IT systems
  • Accurate minute and note taking – including follow up of actions
  • Familiar with office procedures and deadlines
Desirable criteria
  • Experience of working within the NHS (hospital environment)
  • Experience within busy office environment
