This is an exciting opportunity to lead a skilled and supportive Administration Team at the heart of our Continuing Care and Lifetime Services. You will play a key role in ensuring the smooth running of day-to-day operations, overseeing staffing rotas, supporting service coordination, managing resources and equipment, and driving continuous improvements across administrative systems and processes.

Working closely with the Lifetime Leadership Team across Nursing and Psychology, you will help shape efficient, responsive and family-focused services that truly embody our “Taking it Personally” values. Main duties of the job

  • Provide day-to-day leadership and supervision to the Administration Team across the Lifetime Service.
  • Oversee Continuing Care Team rotas, managing absences, annual leave, training and staffing records using electronic rostering systems.
  • Work with operational and clinical leads to maintain safe and effective staffing levels.
  • Coordinate meetings, clinics, diaries and service schedules across teams.
  • Support induction planning and rota placement for new staff members.
  • Manage ordering of equipment and consumables, ensuring timely availability of resources.
  • Contribute to audits, surveys, data collection and reporting to support service improvement.
  • Produce reports, maintain accurate records and develop efficient administrative systems and processes.
  • Line manage, mentor and support Administration Team members, promoting wellbeing and development.
  • Support recruitment activities, including interview coordination and onboarding processes.
  • Communicate professionally and compassionately with families, carers, colleagues and partner organisations.
  • Handle sensitive and confidential information in line with data protection and governance requirements.
  • Use initiative to resolve operational issues and respond flexibly to changing service needs.

Qualifications and Training

Essential criteria
  • GCSE Grade A-C or equivalent in Maths and English
  • NVQ level 2 in Business Administration or other relevant qualification or equivalent experience.
Desirable criteria
  • Evidence of undertaking personal/professional development.
  • Willingness to undertake training required for the role.

Skills, Knowledge and Experience

Essential criteria
  • Experience of diary management and organising meetings/clinics/events
  • Experience of using a range of IT skills including electronic communication, text processing, spread sheets and data bases
  • The ability to manage range of administrative processes including typing, minute taking, data management/analysis.
  • Experience of line managing a team
  • Able to collate and produce data/information tailored to the audience.
  • Able to handle private, complex and confidential information in-line with general data protection regulations and company policies and procedures.
Desirable criteria
  • Experience of working in a health/social care or service-oriented organisation
