This is an exciting opportunity to join our Specialist Falls Service where your skills, organisation, and attention to detail will play a vital role in supporting patient care.

As an Administrator within our friendly and supportive team, you’ll play a key role in keeping our service running smoothly. Your role will be varied and rewarding, including managing referrals, maintaining accurate data, being a point of contact for our team, developing triage skills,  responding to patient queries, and coordinating equipment and stock. Your contribution will enable our clinicians to focus on delivering high-quality, patient-centred assessment and care.

You’ll be at the heart of a service that’s continually evolving, where your ideas and input are valued. We recognise the importance of our administrative team, not just for what you do, but for the insight and improvements you bring.

  • This is a permanent post
  • Working 37.5 hours per week Monday to Friday
  • Based at Southmead Health centre with free parking available 

Prif ddyletswyddau'r swydd

  • Play a key role in the team, contributing to the day-to-day administration that keeps the service running smoothly
  • Work independently and collaboratively, using your initiative while also supporting colleagues to prioritise and manage workloads
  • Manage referrals, inputting and processing information on the EMIS system in line with service protocols and escalating potential issues
  • Be a first point of contact, handling telephone enquiries with professionalism, empathy, accuracy and within a timely manner
  • Support patient journey, including processing discharges in line with local policies
  • Ensuring your own and shared mailboxes are regularly monitored and responded to promptly, escalating any potential problems
  • Provide a wide range of administrative support, including producing and printing letters, managing documents, scanning, minute taking, and handling post and sensitive information
  • Deliver excellent customer service, responding to patient enquiries with understanding and care in line with Sirona values
  • Supporting colleagues, contributing to the wider effectiveness of the team
  • Manage priorities and deadlines in a changing environment
  • Inputting data information  from local improvement audits
  • Taking part in regular team meetings, supervision and performance reviews

  • Significant relevant experience in administration
  • Able to work well in a team environment but also act on own initiative
  • Organisation and time management skills
  • Range of IT skills including electronic communication, text processing, spreadsheets and databases
  • Knowledge of electronic patient booking systems such as EMIS
  • Ability to be flexible and responsive to a dynamic changing work environment
