Job overview

We have an exciting opportunity to join TEWV as part of a new team for a specific programme of work, we are looking for Band 3  Team Administrators . The ideal candidates would provide high-quality, confidential, and comprehensive administrative and secretarial support.

The role is integral to the effective operation of services, involving the management of complex administrative processes, coordination of meetings and events, handling of sensitive information, and support across business, financial, and information governance functions.  Post holders will be expected to use their initiative and judgement to prioritise workloads, maintain robust systems, and ensure the smooth running of the respective team.  

The postholders may  be asked to travel across the Trust to support meetings and events and therefore remote working would not be suitable due to the role requirements.

You must have the Right to Work in the UK in order to be successfully appointed to this role. Please note, this role does not meet the required eligibility criteria for sponsorship under the Skilled Worker visa and therefore the Trust is unable to offer sponsorship for this particular role.

Main duties of the job

The successful postholders will assist with general office administration to ensure the smooth running of the service.

You will coordinate and support meetings, including diary management, preparation of agendas and papers, and minute taking.

In addition to this, the postholders would manage sensitive and complex information in line with information governance and confidentiality requirements.

You will act as a key point of contact for internal and external stakeholders, using good judgement and initiative to prioritise workload.

Experience

Essential criteria
  • Experience of working in an administrative environment (diary management, filing systems, meeting coordination, minute talking, data input, collating and presenting information)
  • Experience of organising completing demands and workloads
  • Experience of setting up and maintenance of administrative systems and processes.
  • Experience of working autonomously and proactively.

Knowledge

Essential criteria
  • Comprehensive knowledge of Microsoft Office applications.
  • Understanding of data protection and the need for confidentiality and how to maintain this.
  • Knowledge of office systems and processes

Skills

Essential criteria
  • Good interpersonal and communications skills (articulate, meaningful, legible and appropriate to the audience).
  • High level of attention to detail and quality of work.

Qualifications

Essential criteria
  • Level 3 Qualification in relevant field or equivalent experience or willingness to work towards Level 3 qualification in Business Administration.
  • Key skills in literacy and numeracy Level 2 or equivalent (O Level / GCSE in Maths and English grade C/grade 4 or above)
Desirable criteria
  • Level 3 Qualification in Business Administration.
  • RSA Level 2 or equivalent Secretarial/administrative experience in a clinical environment.
