Job overview

The Ward Clerk will give efficient clerical assistance to the Unit.  The provision of an efficient clerical service is essential to ensure the prompt admission, discharge and transfer of patients.

By the nature of the duties, the Ward Clerk will be required to maintain strict confidentiality and will be expected to deal with patients and relatives with courtesy and discretion at all times

The Ward Clerk is responsible to the Ward Managers in providing an efficient clerical service across the wards

The ability to speak Welsh is essential for this post

Main duties of the job

·         Complete routine ward documentation which will include: training statistics, bank usage statistics, sickness statistics etc.

 

·         Processing of statutory documentation in relation to the Mental Health Act. Processing of ward documentation e.g. Admissions and Discharges.

 

·         Maintain case notes in good condition.

 

·         Ensure case notes have sufficient blank pages with patient identification labels attached.

 

·         Tracking case notes in accordance with departmental and organisational procedures.

 

·         Filing of results in case notes, including those case notes tracked to ‘out of ward’ areas.

 

·         Maintain appropriate manual/computerised systems and update as required.

 

·         Photocopying of appropriate documentation as directed.

 

·         Return notes of discharged patients as appropriate.

 

·         Answer telephones and relay messages and enquiries in a timely manner.

 

·         Monitor and maintain stationery supplies for the ward.

 

·         Liaise with the General Office in relation to patient travel requests

 

·         Any other ad hoc duties, which are reasonable and appropriate to the grade, thereby supporting each other as a team and the Service as a whole.

Essential criteria
  • Good standard of education - English and Mathematics GCSE Grade D or above, or equivalent
  • IT literate with ability to use Outlook and Word
  • Knowledge of confidentiality requirements
Desirable criteria
  • NVQ Level 2 Admin / customer care

Experience

Essential criteria
  • Experience of administrative & clerical functions
Desirable criteria
  • Previous NHS experience
  • WPAS / Myrddin / PIMS User
  • Oracle
