Job overview

We have an exciting fixed term - 15 months opportunity for a motivated and dedicated project administrator to support our EPR implementation. The successful candidate will have significant experience in administration.

The successful candidate will also provide a comprehensive, efficient and effective support to members of the EPR implementation team and have strong organisational, prioritisation and planning skills.

This is a demanding and busy role, and the successful candidate is required to be able to demonstrate the Trust values and standards of behaviour expected by the organisation and must meet the responsibilities of the job description and person specification.

Interviews will take place face-to-face and there is a requirement for a minimum of 2 days per week working on site, as per Trust policy.

You must have the Right to Work in the UK in order to be successfully appointed to this role. Please note, this role does not meet the required eligibility criteria for sponsorship under the Skilled Worker visa and therefore the Trust is unable to offer sponsorship for this particular role.

Main duties of the job

The successful candidate will work collaboratively with the collective EPR implementation leadership team to support the administration of the system implementation. They will be responsible for ensuring an effective and efficient service to all EPR implementation project members. 

We are looking for someone who has proven administration or project expertise as the role involves a high degree of confidentiality, regular reporting and the ability to deal with any challenging situations that may arise. On a day to day basis the successful candidate will be reactive, responsive and flexible to the needs of the EPR implementation team. 

Job duties include:

To provide administrative and organisational support for the EPR programme and/or project(s) and related work streams. 

To act as a first point of contact for all internal and external enquiries about the programme and the projects/work streams within it. 

To maintain and update the information libraries and databases across the programme/project(s), providing summary reports as required

To organise governance meetings

Qualifications

Essential criteria
  • Diploma/NVQ Level 4 in Business Administration OR: Diploma/NVQ Level 3 in Business Administration (or equivalent) plus willingness to work towards the Diploma Level 4 (must be achieved within 2 years of commencement in post) OR: Equivalent working experience
  • Key skills in literacy and numeracy Level 2 or O Level / GCSE in Maths and English grade C or above
  • ITQ Level 2 or equivalent
Desirable criteria
  • ECDL advanced level or equivalent
  • Project Management qualification (e.g. PRINCE2 Foundation, APM PMQ)

Experience

Essential criteria
  • Significant experience of working within an office administration or programme/project support environment
  • Experience of initiating and maintaining office systems and document management
  • Experience of preparing agendas, taking minutes, and maintaining action logs for formal meetings
  • Experience of using Microsoft Office applications; Word, Excel, PowerPoint, Outlook, MS Teams
  • Experience of organising meetings using conferencing facilities (e.g. MS Teams)
Desirable criteria
  • Experience working within an NHS or healthcare environment
  • Experience of supporting a programme or project management office
  • Experience of using a procurement/purchasing system (e.g. Cardea, Oracle, ERIC)
  • Experience of using a risk/issue management system (e.g. Datix)

Knowledge

Essential criteria
  • Comprehensive knowledge of Microsoft Office applications – Word, Excel, PowerPoint, MS Teams and Outlook
  • Understanding of confidentiality and the associated legal and policy requirements
  • Comprehensive knowledge of secretarial and administrative procedures and the ability to undertake associated tasks ensuring adherence to defined procedures and guidelines
Desirable criteria
  • Knowledge of programme/project management methodologies (e.g. PRINCE2, MSP)
  • Knowledge of NHS governance structures and reporting requirements
  • Awareness of NHS EPR or digital programme environments
