Job overview
As our Executive Assistant, you will be responsible for providing a high level of business support to the Executive Leadership Team, communicating on their behalf with a wide range of internal and external parties as appropriate, and ensuring a professional, high quality and confidential administrative/business support service is provided.
In the role, you will work autonomously, prioritise work using judgement and initiative, recognising the high-profile nature of the work of the Senior Leadership Team and overseeing that all work within the corporate admin office is of the highest standard.
The role will provide a dedicated service for individual members of the senior leadership team but will be expected to cover across the corporate office sites (Clevedon, Bristol, Yate) and deputise for the Senior Executive Assistant/Lead as required.
Main duties of the job
You will work as part of a team in delivering a proactive business and office management support contributing to achievement of directorate/function objectives.
· Organise and manage documentation for meetings and events, including preparation of agendas and minutes of meetings, tracking actions and timeframes as appropriate.
· Ensure senior leaders have been briefed and have the required documentation for all meetings/events.
· Organise and produce reports, papers, presentations and other similar documentation in accordance with organisational timeframes.
· Provide effective diary management for Senior Executives and the team, ensuring that appointments are planned and coordinated, and run to schedule. Use independent judgement to prioritise the high-level completing demands to ensure an appropriate balance in the daily scheduling in line with preferences, responsibilities or project plans.
· Organise and plan meetings and events as directed, including sending invitations, booking venues, making travel arrangements, arranging speakers and providing relevant papers and material. Provide high quality support to ensure they are managed and delivered effectively.
· Support team members with the corporate office to understand their individual priorities and work requirements.

Essential criteria
- Educated to AS/ A Level or NVQ 3/ Diploma level 3 or equivalent level of experience
- Minute taking experience
Skills, Knowlegde & Experience
Essential criteria
- Significant business support/administrative/secretarial experience working in a large/busy team and with Senior level stakeholders, preferably in NHS or similar public sector organisation
- Advanced knowledge of Microsoft software applications (outlook, calendars, word, excel and PowerPoint etc.)
- Experience of undertaking projects
- Demonstrable experience dealing with sensitive and confidential information
- Demonstrate previous experience of professional documentation including reports, committee/panel papers and presentations. Collecting, analysing and formatting information, liaising with others as necessary
- Advanced IT skills to produce good quality presentations and reports
Desirable criteria
- Experience project managing events or visits for senior officials
