Job overview

We are pleased to announce an exciting opportunity for a Band 3 Validation Clerk to join our newly established validation team at Betsi Cadwaladr University Health board to provide RTT support to specialty teams and act as a hub of knowledge for managing pathways across BCU.

Do you have a proactive approach with excellent organisational skills, experience of patient pathway validation and waiting list management? If so, this is an exciting opportunity to join the BCUHB Validation Team where the successful candidate will benefit from learning and development opportunities to support career progression.

The successful candidate will be an experienced user of WPAS with a passion for managing data according to RTT rules and have the ability to work on own initiative, with time management skills and organise own workload effectively. The post holder will work to ensure robust systems / processes are in place and maintained to ensure effective monitoring of data quality issues.

Main duties of the job

  • To provide focus and centralised efforts into the analysis of patient pathways to ensure the health board's PTL and relevant waiting lists are clean and appropriate.
  • Investigate and interrogate the Health Board’s PAS systems efficiently and accurately to provide RTT status, eliminate errors as identified and ensure any corrections that are identified are forwarded to the relevant department for action.
  • Extracting patient demographics from the Trust system, validating and cleansing of the waiting list adhering to the BCU Access Policy.
  • Work as a team to ensure all patient cohorts are validated appropriately
  • Provide advice and support to specialty pathway trackers for any data quality issues
  • Using internal BCU data tools and systems to analyse and present information appropriately
  • Engaging with patients as part of establishing their current pathway

Qualifications and/or Knowledge

Essential criteria
  • Good General Standard of Education (e.g. GCSE Maths and English A-C) and above or equivalent)
  • NVQ level 3 or equivalent knowledge and experience and willing to work towards this qualification
  • Evidence of ongoing personal development
  • Strong IT skills in relation to Microsoft packages including word
  • Previous knowledge and experience of PAS and other databases, software systems used in the NHS and office environment experience
  • Understanding of Validation & management of waiting lists
Desirable criteria
  • Knowledge of RTT guidelines and pathway validation
  • Statutory Mandatory Training as per Health Board Policy
  • Understanding of Basic medical terminology

Experience

Essential criteria
  • Experience of working in an acute hospital/GP practice
  • Experience dealing with the General Public
  • Must be able to work effectively with people from a range of ethnic and social backgrounds, as well as a range of health care professions
  • Ability to work as part of a team
  • Experience in a role which required knowledge of RTT and pathway validation.
Desirable criteria
  • Previous medical records or hospital based clerical experience
  • Knowledge of RTT
  • Experience of engaging with vulnerable and anxious patients and their carers

Aptitude and Abilities

Essential criteria
  • Good verbal and written communication skills and a good telephone manner
  • Able to meet tight deadlines and able to prioritise workload
  • Good Keyboard skills for regular use of computer systems
  • Frequent and prolonged use of telephones
  • Excellent communication and organisational skills, with the ability to demonstrate initiative in response to demands of the workload.
  • Able to concentrate on Administrative duties whilst dealing with regular interruptions.
  • Awareness of local/National Waiting List Management Policy and knowledge of Waiting times.
  • Understanding of the reporting structure in terms of supervision
  • Knowledge of the Data Protection Act and ability to handle patient data and information in a confidential and sensitive fashion
Desirable criteria
  • Competent in the use of Microsoft Office
  • Proficient in health board patient information systems e.g. WPAS, WCP, EPRO, CITO
  • Ability to speak Welsh
  • Knowledge of the Caldicott Guidelines
