Job overview

We have an exciting opportunity for an organised and proactive individual to join our team as an e‑Rostering Administrator, playing a vital role in supporting the day-to-day operation of the Trust’s e‑Rostering systems.

In this position, you will be at the heart of ensuring the system runs smoothly and efficiently, helping to support staff across the organisation. Acting as the first point of contact for user queries, you will provide responsive and effective support, helping colleagues navigate the system and resolve issues with confidence.

Your role will involve a blend of user support, data entry, and system management, alongside producing basic reports to support workforce planning and operational needs. With a strong attention to detail, you will help maintain accurate and up-to-date records, ensuring the integrity and reliability of the system.

Main duties of the job

The e‑Rostering Administrator will play a key role in supporting the effective day-to-day operation of the Trust’s e‑Rostering system. The post holder will manage a wide range of communications via email, telephone and in person, responding to queries and providing guidance, support and basic training to staff across the organisation. They will promote best practice and encourage effective use of the system, working collaboratively with colleagues in different areas. The role involves maintaining the accuracy and integrity of the database by preparing and uploading data, carrying out regular system checks, and resolving issues promptly, escalating more complex problems where required. The post holder will also generate and distribute routine and ad hoc reports, supporting managers to make better use of rostering data and contributing to the development of new reporting solutions. In addition, they will undertake general team administration duties, including managing spreadsheets, document libraries and records, ensuring information is kept up to date and organised.

The e-Rostering Administrator will have the following key responsibilities: 

Communication 

·         Manage a wide range of email, telephone and in-person communications, following team processes and using initiative to respond appropriately

·         Engage effectively with staff in a range of settings in order to provide support, basic training and promote the use of the e-rostering system

·         Facilitate the sharing of advice and ‘best-practice’ between areas

Database Maintenance 

·         Gather and prepare extracts of data for upload into the database.  Run regular checks to ensure the success of the update

·         Ensure accuracy and timeliness in the data entered into the system

·         Address system issues promptly, escalating complex problems to the appropriate team members or organisational departments.

 

Person specification

Qualifications

Essential criteria
  • GCSE or equivalent English and Maths, grade C or above
Desirable criteria
  • European Computer Driving License or equivalent IT qualification
  • NVQ Level 3 in Business Administration (or similar) or equivalent practical experience.
  • Qualifications in Excel

Experience

Essential criteria
  • Experience in providing direct customer support
  • Experience in using databases, with the ability to extract and analyse information.
  • Familiarity with IT systems, particularly in handling complex numerical and textual data.
Desirable criteria
  • Previous experience working in an NHS or similar healthcare environment.
  • Qualification in Customer Services or Helpdesk Delivery
  • Experience in e-Rostering systems or workforce management tools.

Communication

Essential criteria
  • Effective Prioritization: Demonstrated ability to focus on timely delivery of outcomes by effectively prioritizing own workload and supporting others in managing their tasks
  • Organizational and Administrative Skills: Strong organizational and administrative abilities, ensuring smooth and efficient workflow management.
  • Deadline Management: Proven ability to manage tight deadlines and juggle competing priorities without compromising on quality.
Desirable criteria
  • Demonstrated adaptability in communication style to meet the needs of different stakeholders, whether in person, via email, or through written documentation.

Skills & Knowledge

Essential criteria
  • Excellent IT skills, with advanced proficiency in MS Office, particularly Excel for data analysis and reporting.
  • Strong organizational and administrative skills with the ability to prioritize and manage a busy workload effectively.
Desirable criteria
  • Knowledge of NHS policies and procedures, particularly those related to staffing and workforce management.
  • Familiarity with electronic rostering systems, including system configuration and troubleshooting.
