Job overview
This role plays a vital part at the heart of the ward, providing a welcoming and efficient first point of contact for patients, relatives, and clinical staff.
You will deliver a high-quality front-line administrative service, supporting the smooth day-to-day running of the ward while ensuring patients and visitors receive a professional and compassionate “front door” experience during their visit.
Alongside this, you will be responsible for accurately recording and updating patient information within clinical systems, including admissions, discharges, and transfers. Maintaining exceptional data quality is essential, with strict adherence to Trust policies, health records standards, and information governance requirements.
The role requires strong organisational skills and the ability to manage your workload effectively in a busy environment. Flexibility is key, as you may be required to support different wards and adapt to evolving service needs. You will play an important part in ensuring both operational efficiency and a positive patient experience.
Main duties of the job
Maintain any paper based documentation and prepare for admission . After patient discharge send paperwork to relevant areas for processing. Provide accurate data quality information . Tracking notes Filing duties when needed. Ordering of stores. keeping the reception area tidy . booking appointments

1. To maintain any paper based documentation on the ward relating to patients admission and
discharge.
2. To liaise with the data quality department to report any anomalies’ found in any patient data on
the trusts clinical systems, highlighting errors or concerns and to participate at the trusts data
quality meetings as requested.
3. To be responsible and accountable for requesting, sourcing and tracking patient case notes for
both inpatients, filing and investigation
4. To ensure any elective patients have their notes available to the clinical staff the day before
admission.
5. To be responsible for the creation of admission bundles and electronic event packs, ensuring
packs are set up and filed in accordance with the Trust electronic filing policy.

Qualifications
Essential criteria
- GCSE or Equivalent
Desirable criteria
- ITQ2 or equivalent
Experience
Essential criteria
- Working within agreed guidelines to set timescales
- Experience using IT packages
- Ability to sanity check data
- Working in a customer facing/reception role
- Ability to follow processes and procedures
Desirable criteria
- previous NHS experience or ward clerk / admin
