Delivery Suite Ward Clerk

Job overview

We’re looking for a reliable and organised Ward Clerk to support the smooth running of our busy Maternity Unit. You’ll need strong computer skills, the ability to work independently and as part of a team, and excellent communication under pressure. Accuracy in data entry and a commitment to high standards are essential.

Main duties of the job

OBJECTIVES AND PURPOSE OF THE POST:

To enter birth details on the computer system and print relevant documents

Send relevant documents to Child Health department.

Support the Maternity Team with checking data on the Newborn and Infant Physical Examination IT system  (NIPE SMART). Printing off birth registers and ensuring that completed NIPE checks are reflected on the NIPE SMART system

Ensure bedstate is up to date and correct.

To complete discharge details on the computer system, print the summary and notify the community midwifery team of the discharge.

 Answer telephone and take messages to give to midwives.

Meet and greet patients and visitors to the unit.

 Admit, transfer and discharge patients on the computer system

To prepare the discharge packs of information for women and feeding packs.

To ensure the details entered in the computer system are accurately recorded.

To arrange follow up appointments for the mother and baby, as requested by the Trained staff.

 To complete the obstetric coding screen when mother and baby are discharged.

 Prepare notes for Evolve

 To ensure adequate stocks of stationery are available to the Teams and order stationery if required.

 To maintain an organised and tidy work area

To follow guidelines and procedures in the registration of mothers and the newborn.

Detailed job description and main responsibilities

We are seeking an enthusiastic individual with experience of working within a hospital setting to join our Team on Delivery Suite as a Ward Clerk. 

You will be working closely with the Delivery Suite Midwifery Team and other members of the Multi –disciplinary Team supporting them to work clinically by undertaking the non-clinical elements that are required to support efficiency of the workplace. We are seeking an individual with good communication skills, a methodical approach to work and a willingness and aptitude to learn our in house IT systems. 

 You will be responsible for all the clerical support that the Team on delivery suite will require, including filing, updating IT systems as requested by the Team and meeting women and their families when they arrive in the Delivery suite.

Essential criteria
  • Good standard of general education, including English & Maths at GCSE level
  • Experience within this role and working for the NHS
Desirable criteria
  • Knowledge and experience of CMIS, iPM and ICE

Experience

Essential criteria
  • Experience of working in an environment dealing with highly confidential data
  • Experience working within a busy team
  • Working independently using insight and can carry out instructions
  • Able to prioritise forthcoming requirements of data collection
Desirable criteria
  • Previous experience of working within a multi-disciplinary team
  • Database experience (CMIS)

Knowledge

Essential criteria
  • Customer care needs
  • Must be able to demonstrate behaviours consistent with the Trust values and behaviours
  • Can identify gaps in knowledge, be open and transparent

  • Awareness of the need to be open if an incorrect judgement has been made
  • Experience of working within a team

Communication Skills

Essential criteria
  • Excellent communication skills with both colleagues and patients. Excellent telephone skills.
  • Confident speaker with an excellent understanding of the role and responsibilities of within a hospital setting
  • Ability to deal with members of the public with both face to face contact and through the use of the telephone in a polite respectful manner
  • Works on own initiative and within a team and have good organisational skills
  • Good Computer skills (Word, Excel, Outlook)
