A really exciting position for an Administration Coordinator has become available within our Emergency Care Directorate.

We are looking for a self motivated individual who can work both well within a team and also can demonstrate the ability to use own initiative. You will work closely and as part of a multi-disciplinary team across the Emergency Care Directorate. As the Administration Coordinator you will be the point of contact for all administrative issues relating to patients Emergency pathway of care. The post holder will supervise and allocate work to the Emergency Care Directorate Admin Team.

Attention to detail and flexibility to work across all our units is essential. Knowledge of EPR/Firstnet and previous experience of having worked in an Emergency Department or similar environment is desirable.

The post holder will work across a 7 days service – supporting a variety of shifts, including weekends, bank holidays and evenings.

Main duties of the job

  1. Responsible for the Emergency Care rostering of all administrative rotas – Adult, STAT, EDMU, Paeds, DQ.
  2. Key accountability for the resolution of data quality issues relating to staff members and provide clear feedback to team members in a way that is conducive to maintain and improve performance. Create action plans that arise from these issues.
  3. Take the lead on the development and maintenance of the Departments Administrative Standard Operating Procedures whilst ensuring all activities are conducted in accordance with these.
  4. Ensure that Trust agreed standards of service is delivered to all patients attending the Emergency Care Directorate areas
  5. Be responsible for ensuring details of patients to be admitted are entered onto EPR, recording accurate information.
  6. Responsible as an authorised signatory for Optimise, this includes ensuring all targets are met, authorised and submitted on a monthly basis. Responsible for ensuring adequate cross cover arrangements are in place where necessary.
  7. Signing off new paperwork to go to print, along with setting up stationary standing order and receipting goods on eProc. Placing orders on eProc.
  8. Implement Trust systems for managing individual performance and for resolving poor performance for complex members of staff.

 

Working for our organisation

 

The post holder will be the point of contact for all administrative issues relating to patients’ Emergency pathway of care. The post holder will work as part of a multi-disciplinary team and will provide expertise in the proactive management of all elements of the patient’s emergency pathway, ensuring the entire pathway is managed smoothly. The post holder will supervise and assist in the allocation of work to the Emergency Care Directorate administration team.

 

The post holder will ensure high levels of patient and clinician satisfaction by being an accessible, customer focused and knowledgeable point of contact. To provide a consistent approach across the Trust, using Standard Operating Procedures (SOPs) to ensure that functions of the role are carried out correctly within given timescales.

 

Act as a mutli-skilled worker within the Emergency Care Directorate adapting to the competing demands of the service.

 

This role will work closely with the Administrative Manager and provide cross cover in times of absence

  10. Responsible for managing absence, performance and recruitment/retention, escalating and working with the Service Manager, Admin Manager, Human Resources and Occupational Health for complex cases.
  11. Support in the recruitment of staff with the appropriate skills to support the needs of the admin team.
  12. Accountable for the utilisation of eProc for ordering Emergency Care Admin stationary items or as requested by Directorate team.
  13. Responsible for holding monthly reception team meetings to foster good working relationships.
  14. To compile agenda, meetings and disseminate.

Essential

Essential criteria
  • • Educated to A-level, or NVQ Level 4 in Business Administration/Customer Care or acquired equivalent experience • GCSE or equivalent in English and Maths, grades A-C
  • • Experience of scheduling using EPR and FirstNet, • Experience of using Microsoft Office, including Word and Excel,• Experience of working in a healthcare setting • Customer Care experience • Experience of supervising staff
  • • Ability to communicate effectively with people at all levels • Ability to use own judgement to resolve problems and queries competently, including those of a sensitive and confidential nature• Ability to plan, prioritise and delegate workload • Manage and interpret data correctly to inform decision making,
