Job overview
We are looking for an enthusiastic person who will enjoy working in a busy environment working with a multi-professional group in Maternity Ultrasound.
You will work closely with the Sonographer team to support the smooth running of the department by providing administration support.
As a new role, you will be instrumental in helping to review administration processes and identifying more efficient and effective ways of working.
You will support enquiries from patients and their visitors and liaise with staff from other departments.
Please note this is a fixed term role for 12 months.
Main duties of the job
You will work closely with Lead Sonographer to identify, develop and implement administrative systems for the department
This may include the following:
- Providing direct administrative support to the Lead Sonographer
- Ensuring relevant paperwork is available for team meetings.
- Preparing and typing letters and reports, including reporting of Action Notes from team meetings.
- Assisting in analyzing and responding to service user feedback in order to improve services.
- Organizing meetings.
- Assisting the planning of the sonography team's work rotas.
- Collating Annual Leave and Sick Leave information for the Lead Sonographer.
- Assisting in organizing mandatory and other training for the staff.
- Organizing the servicing and maintaining the log of equipment and estates and facilities issues, liaising directly with the appropriate departments.
- Assisting in the administrative process for the recruitment of new staff.
- Procuring ward goods/supplies relevant to the service, within agreed budget.

Qualifications
Essential
- Good general education to NVQ level 3 (or equivalent)
- Experience of developing, implementing and using administrative systems
- Computer literacy including the application and use of Microsoft Office
Experience
Essential
- Experience of storing documentation electronically
- Experience of dealing with a range of difficult or challenging situations, both on the telephone and in person
- Previous experience of secretarial / administrative work

Education/Qualification
Essential criteria
- • Educated to A-level, or NVQ Level 4 in Business Administration/Customer Care or acquired equivalent experience
- • GCSE or equivalent in English and Maths, grades A-C
Desirable criteria
- • Computer Literacy Course

- Experience of using full range of IT systems
- Experience of using Microsoft Office, including Word and Excel
- Experience of working in a multi-disciplinary team
