Berkshire Healthcare Foundation Trust has an exciting vacancy for a part time administrator to work with the administration team for health visiting, based at West Berkshire Community Hospital.  

We are looking for a highly organised, motivated administrator to join the team of administrators who support the health visiting service in West Berkshire. The ideal candidate will have good organisational, IT (including the use of excel) and communication skills. The team are supportive and friendly and enjoy good working relationships with partner agencies. You must be a driver and have use of a car.  

Main duties of the job

  • Be responsible for review clinic appointments including mail merge and sending of multiple appointment letters, health related information and questionnaires and take review clinic appointment bookings 

  • Take, respond to and record accurately all telephone calls and e-mails, initiating action as appropriate, relaying messages accurately, ensuring that all calls receive prompt attention in an efficient and courteous way 

  • Produce new birth and transfer in packs in preparation for the Health Visitor home visit.  

  • Manage clinical records, discharge of notes and archiving in accordance with the NHS Code of Practice and local Child Health Information Service 

  • Undertake clinic and/or reception duties when required communicating directly with service users 

  • Assist in the receipt and distribution of all mail delivered to the service  

  • Assist the team in the maintenance and amendment of client demographics within the electronic patient record 

  • Liaise with other departments and external organisations on matters concerning the department business, on direction 

  • Manage and monitor own workload, identifying need for support as appropriate 

  • Collaborate with other Administration Team members, to ensure the department is always fully equipped of both central stock and non-stock items by regular monitoring and keeping relevant staff informed 

  • Collect departmental statistics/data as and when required
