We are looking for an individual who is enthusiastic, comfortable engaging with members of the public and is extremely organised and can provide reports and provide PA support for the Community Connexions Lead.
The postholder will be responsible for providing high level administrative and data support across the Team for Community Connexions including diary management, organising and minuting formal meetings, answering telephone calls and producing correspondence as required.
The postholder will independently liaise and communicate with the Divisions to obtain complex research and innovation data in a timely manner and be responsible for its input, collation and analysis, presenting it in a number of formats and produce high quality reports for external organisations.
The postholder will be required to provide information and support as required, to Community Connexions lead. within the R&I team.
Main duties of the job
Main Duties
- To support R&I Community Engagement
- To ensure collection and input of accurate data for generating data for reports using a variety of styles.
- Support the R&I Team Community Connexions meetings by coordinating team actions.
- Provide finance cover for raising requisitions and maintaining good records of financial transactions
- Manage the R&I Community Connexions general enquiries inbox and act on relevant notifications.
- Provide the administrative support for various communications material, such as presentation of regular briefings and updates and oversee the circulation of these.
- Act as first point of call for callers to the R&I Community Connexions team for telephone and written enquiries and to work in a way that supports a positive team culture, suggesting improvements where appropriate.
Administration
- To work autonomously, manage own workload, deciding when necessary to refer to the Community Connexions lead.
- Provide high-level secretarial and administrative support to the R&I Community Connexions lead including a high standard of diary management and organisation when arranging meetings etc.
- Act as personal assistant to the Community Connexions lead (maintain Director’s diary, prioritise inbox items, replying to general enquiries as necessary).

Detailed job description and main responsibilities
This is a completely new role to support a new team called Community Connexions. The role will be fast paced and require a lot of autonomy, thinking and decision making and adapting as the role develops. The successful applicant will act as a part time PA to the Community Connexions Lead and also be the first point of contact for new queries and requests to the team. The role will also require support for engaging with community groups or other healthcare providers to book meetings and plan events etc... On occasion these events are outside of the 9-5pm window and time will be re-claimed on another day. The successful applicant will need good communication skills, ability to provide reports and assist with grant writing and be proficient in using MS Teams, Sharepoint, Excel and Powerpoint. Website and social media skills are also desirable.
