Job overview

We are seeking a Personal Assistant who has a keen eye for detail, is excellent at juggling multiple tasks and has the ability to work under pressure. The successful candidate will be responsible for providing an effective and efficient administrative support service to members of the Children and Young People Division Senior Leadership Team. 

Main duties of the job

· Provide a comprehensive and confidential administration service to identified and fixed members of the divisions senior  leadership team, including the coordination of diaries, arranging meetings, minute taking and preparation of meeting papers, filing, correspondence and maintenance of shared electronic records.

· Ensure competent and accurate preparation of letters, reports, documents and presentations.

·  Deal with Diverse and complex issues, acting on own initiative in problem solving and crisis resolution, ensuring that problems are resolved diplomatically.

Desirable criteria
  • • Undergraduate degree in a business-related topic or an equivalent level of experience/knowledge

Knowledge and Experience

Essential criteria
  • Knowledge of the full range of administrative and Essential A/I organizational policies and procedures acquired through training and relevant experience.
  • Demonstrable experience of successfully working with Directors
  • Demonstrable experience of servicing and supporting senior committees
  • Demonstrable experience of successful project management

Professional / Specialist Knowledge

  • Ability to organise, prioritise, and deliver work to challenging deadlines
  • Strong, effective organisational skills
  • Plan and organise meetings / events / conferences, including organizing speakers
  • Experience of planning and managing complex and, at times, conflicting priorities

  • Excellent, advanced IT skills, including a comprehensive knowledge of MS Office including Word, Excel, PowerPoint, Access and Outlook.
