Job overview

To provide a professional, and appropriate reception service to the public and all users of High Oak Surgery, maintaining confidentiality at all times.  To book appointments with the most relevant clinician and complete daily administration tasks using the surgery’s computer systems. 

Main duties of the job

·            To deal politely and efficiently with all patient queries via the telephone and face-to-face

·            The booking patient appointments via the telephone, face-to-face and via the website with the most appropriate clinician, ensuring that Care Navigation is carried out

·            The booking home visit triage requests ensuring that all relevant information is gathered and forwarded to the GP

·            Completing daily tasks in a timely manner using the surgery’s IT programmes including, EMIS, Docman, Footfall and email 

·             Dealing with prescription requests ensuring they are forwarded to the relevant GP for action

Detailed job description and main responsibilities

·                To deal politely and efficiently with all patient queries via the telephone and face-to-face

·                The booking patient appointments via the telephone, face-to-face and via the website with the most appropriate clinician, ensuring that Care Navigation is carried out

·            The booking home visit triage requests ensuring that all relevant information is gathered and forwarded to the GP

·            Completing daily tasks in a timely manner using the surgery’s IT programmes including, EMIS, Docman, Footfall and email 

·             Dealing with prescription requests ensuring they are forwarded to the relevant GP for action  

·            Scanning any correspondence received into the surgery

·             Receive and distribute messages to all staff within the surgery ensuring all relevant information is gathered and forwarded   

·             Deal tactfully and sensitively with patients, relatives, and other visitors to the surgery

·            To follow the opening-up and closing-down process for the surgery

·            To participate in the staff rota, to include early and late duties as required

·            To adapt to any changes in administrative procedures

·           To ensure the confidentiality of all patient information at all times

·            Covering for other colleagues in their absence, including sickness and annual leave

Person specification

Qualifications and Education

Essential criteria
  • GCSE Level A-C in Maths and English (or equivalent)
Desirable criteria
  • Level 2/3 relevant vocational qualification

Knowledge and Training

Essential criteria
  • Knowledge of Microsoft Office (e.g. word, excel and email)
Desirable criteria
  • Knowledge of EMIS

Experience

Essential criteria
  • Previous experience of working in a customer service type role / dealing with members of the public
Desirable criteria
  • Previous experience of working in a administration role
