Job overview
To provide a professional secretarial service to the Consultant Psychiatrist and members of the NMHT, assisting them in achieving their objectives, organise their workload and to liaise with all relevant and appropriate services. Reliable data entry into the GP PAS system such as Care First/SystemOne/Emis and / Rio computer systems will be required ensuring a full and effective clinic system is in operation, receiving all visitors, Staff, Patients and GP’s telephone calls in a polite, friendly & courteous manner
Main duties of the job
The post holder will be responsible for undertaking a wide range of administrative and secretarial duties, which include the receipt of all correspondence, booking of new patient appointments, attendance at MDT weekly meetings etc. The audio transcription and text processing of clinical letters, report and other correspondence as required by the medical team.
Arranging meetings, reviews, case conferences, taking formal minutes of meetings and circulating the documentation in a timely manner and dealing with outcomes.
· Word/text processing, audio transcription of complex clinical information including clinic dictation, discharge summaries, reports and other correspondence, as required by the Consultant and clinical team in priority order whilst ensuring a high degree of accuracy in medical terminology and clinical detail.
· To work on own initiative with minimal supervision, prioritising own workload in line with objectives of the Consultant and multidisciplinary team.
· Be responsible for accessing the Trust Electronic Patient Records System patient registration system and Insight reporting system to enter and look up relevant patient information, produce standard reports and template letters as required and access caseloads and waiting list data via Insight as requested.
· The post holder will be required to assist with the training and supervision of junior, newly appointed and temporary staff as required.

Essential criteria
- GCSE English Grade C or equivalent
- NVQ Level 3 Business Administration

- RSA Word Processing Level III or equivalent

- Significant admin/secretarial experience working in health or equivalent environment
