Job overview

To provide specialist administration,support and maintenance of the Trust RLDatix workforce

System, Allocate, ensuring the effective operation of electronic rostering and workforce management

processes. The post holder will act as a key point of contact for system users, providing technical

support, training and guidance to managers and staff, while promoting best practice in roster

management.

 

The role is responsible for maintaining system configuration, data quality, user access and

reporting, supporting the ongoing development and implementation of RL Datix workforce management

products across

the Trust. Working closely with operational, clinical and managerial teams, the post holder will

contribute to workforce efficiency, service delivery and the realisation of benefits from the Trust's rostering systems.[K 


 

Main duties of the job

This post is to support the Trust in the effective delivery and maintenance of the RL Datix

workforce management software.

The post holder will:

·         Support the day-to-day usage of Allocate by providing technical expertise to resolve

user issues swiftly

·         Support Medical Resource Officers and care group managers with advice and guidance on

using the system and effective-rostering principles, promoting best practice

·         Build strong working relationships with key stakeholders in the divisions, deliver a professional and bespoke-rostering service

Detailed job description and main responsibilities

To support the effective use of the electronic rostering system by providing technical expertise in managing medical rosters

To resolve technical and rostering management queries

Provide professional and efficient technical support, answering queries received in person, via email or via telephone.

To understand NHS Medical Staff Terms and Conditions of service

To provide an effective, customer focused support service, ensuring all users are adequately trained and able to fully utilise the system; ensuring data is kept up to date and that changes are completed in a timely manner     

Conduct on-site and remote training programmes for staff to ensure good working knowledge of RL Datix workforce management system

 Deliver presentations and produce demonstrations as required

To maintain RL Datix workforce management system ensuring that all employment data (e.g. unit, grade, hours) is accurate

To work closely with managers, clinical and operational staff to support the continued implementation, utilisation and management of RL Datix workforce management systems across the Trust

To support the roll out of additional functionality to ensure full benefits realisation of the RL Datix workforce management system

Configure the RL Datix workforce management systems including the uploading of data, roster build, Award Rule Build, Budgeting and interfaces to Payroll systems

To input data into the e-rostering system to include new units, new starters, contract variations and processing leavers. This also includes system configuration, such as unit/grade mappings, suspect records and assignment issues.

Deal with rota issues quickly as they arise in using creativity to find solutions to problems where the system may not meet the end user’s needs

Qualifications

Essential criteria
  • • Good standard of education, including GCSE Maths and English Grades A-C/Grade 4 or above (or equivalent)
  • • NVQ Level 3 in Business Administration or related subject, or equivalent level of administrative experience
  • • Proficient in the use of Microsoft Office applications including Word, Excel, and Powerpoint

Knowledge and Experience

Essential criteria
  • • Substantial administrative experience using databases and spreadsheets
  • • Experience of delivering system or software training to individuals and small groups
  • • Experience working with e-rostering systems, preferably within a healthcare environment

Competencies

Essential criteria
  • • Ability to manage and prioritise workload, using initiative and escalating issues appropriately
  • • Ability to analyse information, solve problems and adapt to changing priorities
  • • Ability to maintain accuracy and data quality when working with workforce and rostering information
