Walsall Healthcare NHS Trust provides integrated acute and community Healthcare in the West Midlands serving a population of 260,000 residents. Walsall Manor Hospital houses the full range of district general hospital services. The £170 million development was completed in 2010 and we are continually upgrading. Construction of the new integrated critical care unit was completed in 2018, extension of a Neonatal Unit and an approved plan to build a brand new, state of the art Emergency Department which commenced in 2021

Job overview

To lead and supervise the ICES administration team providing day to day management of the team ensuring processes and timelines are met in accordance to guidelines, oversee the coordination of the drivers schedules and problem solve as necessary.  Maintain personnel files, complete personal development reviews, regular 1-1s and team meetings.  Use various software systems in use by ICES ensuring accurate data recording and reporting.  Liase with patients, families, carers, professionals, suppliers, contractors.

Main duties of the job

To provide administrative and system management support to the Integrated Community Equipment Service

The post holder will need to have a high degree of interpersonal skills, literacy, numeracy, organisational ability and IT (Microsoft Office) skills, knowledge of ELMS2 and Fusion and be able to demonstrate and articulate an understanding of the wider work streams of quality and governance

Day to day management of the administration team ensuring processes and timelines are met in accordance with departmental guidelines, overseeing the coordination of drivers schedules and problem solving where necessary. Complete personal development reviews, monitor annual leave/sickness, maintain personnel records, conduct regular team meetings.

Detailed job description and main responsibilities

Support with preparing background information, collate information into reports from ELMS2 software system, produce statistics and create and manage databases as required

Manage and co-ordinate events such as training and workshops associated with the Equipment Service

Provide cover for ICES Deputy Lead in their absence and coordinate cover for other colleagues within team as and when required during periods of absence.

To liaise with other teams, services, organisations as directed by ICES Service Manager

To behave in a manner guided by ethical considerations and to keep all information about patients strictly confidential.

It is essential to work as a team with all members of the ICES department in order to deliver an efficient and effective service.

Participate in appropriate duties as directed by the ICES Service Manager.

Picking of equipment from warehouse for counter collection orders

Deal with telephone queries from service users and professionals appropriately in line with quality customer services.

Order equipment using Oracle SBS and NHS supply chain and manage orders, requisitions and invoices as appropriate

To provide administrative and system management support to the Integrated Community Equipment Service

Assist in the management of projects and collation of information to support the   process

 The post holder will need to have a high degree of interpersonal skills, literacy, numeracy, organisational ability and IT (Microsoft Office) skills, knowledge of ELMS2 and Fusion and be able to demonstrate and articulate an understanding of the wider work streams of quality and governance

Update and maintain personal files, including completion of personnel and payroll documentation

 Carry out annual Personal Development Review meetings

  • Educated to diploma/NVQ4 or demonstrate equivalent experience
  • GCSE Grade C or above in English Language or equivalent
