Rota Coordinator for Emergency Services

Job overview

To support the Urgent & Emergency Care (UEC) management team to achieve sustainable operational efficiencies and compliance with national quality standards by ensuring effective rota coordination for the medical workforce.

To co-ordinate, plan and generate staff rotas that reflect appropriate skill mix and distribute as appropriate.

 To identify rota issues and put in place solutions in conjunction with UEC Management Team where appropriate.

Review unexpected absences on a daily basis and in conjunction with UEC Management Team put in place solutions to ensure gaps are mitigated and services are able to provide a safe level of cover.

Contact doctors where urgent cover is required, supporting medical staff new in post with rota/shift management.

Request and monitor Bank/shifts for UEC, providing a weekly submission to the UEC Management Team, liaising with the medical staffing department.

Receive and respond effectively to annual leave and study leave requests for junior doctors ensuring the Trust authorisation process is followed.

Monitor sickness, study and annual leave requests for junior doctors, maintaining accurate records, ensuring sufficient cover in place for periods of leave.

Ensure paperwork available for Consultants/Operational Managers carrying out return to work interviews following periods of sickness.

Escalate any issues to the UEC Management Team.

Main duties of the job

To communicate information with staff on a variety of departmental matters and procedures. 

To communicate complicated administrative information to staff from other departments and external

contacts.  

To communicate complex, sensitive, contentious information with a range of stakeholders, where persuasion or negotiation is required. 

To exercise judgements when dealing with enquiries and to analyses information to resolve problems. 

To develop and implement plans/work streams and to manage and organise activities. 

To develop and implement administration policies for own area of work. 

To attend meetings both in person and online to share and provide narrative for any gaps in medical staffing along with progress of measures taken to cover the shift and any outstanding actions as well as escalations.
