Job overview
To work as part of the Cardiac Directorate administration team to support a defined team of clinicians, nurses and other healthcare professionals. The role will support the Directorate by providing a comprehensive, efficient and confidential administrative support for all aspects of activity including, outpatients, diagnostic and treatment procedures, day case and in-patient surgery.
You should have excellent communication and organisational skills and an ability to work under pressure.

Main duties of the job
To Co-ordinate clinic and theatre capacity based on the demands on the service.
To check all the TAVI clinics and theatres/TAVI labs in the Directorate are fully utilised
To assist in identifying capacity issues to ensure national targets are met
To assist with booking patient appointments.
To assist and monitor RTT Waiting Times.
Handle patients’ sensitive information in a confidential manner, in line with trust polices and guidelines
Regular review with line manager on performance
To agree to personal training and development needs
To be flexible to the needs to the Directorate
To ensure that all trust policies and procedures are adhered to

Detailed job description and main responsibilities
To work with the administrative team to ensure robust co-ordination of all TAVI activity, ensuring full utilisation of clinic and lab capacity and working with the Directorate Management Team to configure capacity to meet the needs of the service.
To work with Clinicians, nursing staff, patient access and support teams to ensure efficient utilisation of capacity.
Liaise with patients to arrange or cancel clinic appointments.
To attend TAVI working group and RTT PTL meetings to assist in the delivery of performance targets, monitoring patients pathways and ensuring any issue relating are identified and escalated as appropriate.
To work with multi-disciplinary staff to identify and address any barriers preventing delivery of patient care.
To monitor and identify any capacity issues and highlight these to the Assistant Directorate Manager.
To produce monthly reports to the Assistant Directorate Manager with regard to activity against plan, variances and cancellations, along with other adhoc requests for information, using excel spreadsheets and databases.
Assist with the review of systems and patient processes within the Directorate to ensure the continual improvement of services.
To liaise on an adhoc basis when additional capacity is required to meet specific patient needs.
To maintain efficient and effective communication between departments work colleagues and external partners.
To deal positively and promptly with internal and external enquiries both telephone and personal liaising with staff, patients and relative as appropriate.
To provide clear written and statistical information in the form of reports as required and set deadlines.
To ensure Consultants and the Directorate Management team are kept regularly updated on issues relating to theatres and waiting lists.
To work without direct supervision and to take immediate and remedial action to resolve issues within level of authority and recognise when escalation to a more senior member of the team is required.
To undertake any other duties as deemed appropriate by the Assistant Directorate Manager and other senior Managers within the Directorate, commensurate with the nature and grade of the post

Job Criteria
Essential criteria
- Higher Level Diploma in Administration and or equivalent experience
- Excellent organisational skills
- Ability analyse information and provide reports.
- Advanced computer operations i.e. email, database, excel, word and PowerPoint
Desirable criteria
- Knowledge of NHS Service targets including booking, choice and waiting times
