Job overview
The apprentice will be required:
1. To achieve the stated apprentice standard (Key Skills, Certificate/Diploma and Technical Certificate) within the specified time frame.
2. Attend all the training sessions for the programme whenever necessary and complete the required 20% off the job training.
3. Participate in education and training programmes when appropriate and ensure accurate records are kept of your Apprenticeship Programme.
4. To assist the department in the provision of the broad range of services provided, working under the supervision of the department staff.
5. To deliver their responsibilities efficiently and with integrity – showing a positive attitude.
6. To show initiative, managing priorities and own time, problem-solving skills, decision-making and the potential for people management responsibilities through mentoring or coaching others
An Apprentice is expected to expand and broaden their skills and abilities. Nonetheless, they must operate at all times under the direct supervision of a senior member of staff, unless operating according to agreed procedures that have been approved by the department.
Main duties of the job
Administrative Duties
• To be aware of procedures and current issues .
• To be responsible for the Estates Development Department Staff Intranet ensuring it is updated regularly.
• To monitor the Mandatory Training Programme
• Issue and monitor the use of Contractors Access cards.
• To assist apprentices/contractors with Induction and administrative processes where necessary
• To notify Trust and Non-Trust personnel of weekend working
• To arrange meetings using Outlook
Finance Responsibilities
• Responsible for ordering stationery
• To confirm ‘Goods Received Notice’ payments
• Be responsible for the issue and return of Tender documentation and the recording onto SharePoint of relevant documents.
• To raise and print orders generated by Oracle procurement system,
Project Related Duties
• To type up and distribute Quotations to support Approval of Purchase documentation and subsequently record and monitor their return and distribution to the Capital Delivery Project Managers.
• To undertake any other duties associated with the management of the Capital Planning Programme as discussed with the Head of Capital Planning commensurate with the band.

Detailed job description and main responsibilities
1. To operate at all times within the local Standard Operating Procedures relevant to the area of work.
2. To provide administrative support (such as filing, scanning, typing, data input, photocopying, booking rooms, ordering stationery, saving documents as instructed) as directed by line management/PSOs.
3. Skilled in the use of multiple Microsoft IT packages and departmental Trust systems in order to: write letters or emails, create proposals, perform financial processes, record and analyse data, i.e. raise orders using SBS
4. To assist and/or deal with (as appropriate) enquiries and information requests via face to face, telephone and email by way of message taking, conveying messages verbally and/or transferring calls, checking individual calendars as necessary, whilst maintaining confidentiality at all times.
5. To check the shared inboxes for work streams and respond to any general enquiries using the standard emails or escalate to a member of the team as appropriate.
6. To respond to all emails, correspondence and telephone calls in a timely manner and liaise with other departments within the Trust in a friendly and professional manner, when assigned to that task.
7. To provide administrative support to meetings including preparing agendas and taking accurate minutes at relevant meetings, update Ibabs system and upload documents as requested
8. To provide administrational duties in a professional, polite and timely manner with attention to providing customer care of the highest standard, i.e. assisting Project Managers with project tracker queries.
