Job overview

The post holder will work as part of a dynamic team to provide an effective project support to help the Black Country Pathology Service (BCPS) Pathology IT team deliver theirs and partner Trust plans.

The BCPS Pathology IT team are a national award winning team and provide technical and project management support to the pathology network in the Black Country.  A new avenue for the IT team is to provide support to neighbouring pathology networks and Trusts to deliver transformation programmes and this role will be central to delivering that support.

Main duties of the job

Maintain constructive relationships with a broad range of internal and external stakeholders.

Support management of the Programme plan and business which includes internal and external working groups/projects, services and initiatives to provide, information and analytical advice and expertise.

Coordinate and document testing of new systems and upgrades

Develop and implement data collection systems that will provide accurate and timely data.     

Present information and issues to team members, internal and external stakeholders as required.

To liaise with other support officers to share best practice.

Manage and undertake business and process analysis and reporting of findings

Supporting training and communication for projects and service change

Coordinate and support project meetings including provision of notes and actions

Provide testing support for new products and workflows

Tracking project plans and deliverables

Detailed job description and main responsibilities

Communicate with people at all levels, liaising externally with stakeholders as required, delivering complex information and administrative matters requiring developed interpersonal and oral/written skills.

Produce comprehensive draft reports and notes from meetings or other events as required.

Coordinate, support and document testing of new systems.

Exercise high levels of diligence when assessing or preparing documentation especially when the information received is from a variety of sources and may be conflicting.

Management of information within the project including maintenance of the project documents and associated procedures, appropriate file structures, version control, indexing, access control and storage

Produce delivery communications reporting regards the project delivery for both internal BCPS use and communications to other areas across the Black Country.

Along with the project leads develop testing plans and act as a central point for enquiries for the BCPS IT project team.

Support the Programme and Project managers to ensure delivery of key milestones and events.

Support the change process and manage business analysis workstreams including production of workflows.

Day to day administrative support for the BCPS project team

Coordinate the development of governance documentation for Project

Deputise for the project team where appropriate and necessary.

Qualifications

Essential criteria
  • A higher Business Administration qualification or equivalent demonstrable experience of working in a project support role
Desirable criteria
  • Evidence of recent and on-going learning and development

Experience

Essential criteria
  • Knowledge of project management
  • Excellent and highly developed time management skills with the ability to recognise conflicting priorities and re organise and adjust work as required.
  • Ability and willingness to travel across sites where required
  • Able to support implementations outside of standard office hours, this could involve working weekday evenings, over weekends or bank holidays
Desirable criteria
  • Quality Improvement knowledge and experience
  • Keen to learn new skills and champion new technology
  • Interest in IT particularly around pathology and Healthcare systems.

  • Problem solving skills and ability to respond to sudden unexpected demands, workloads to changing and often tight deadlines
  • Excellent and highly developed time management skills with the ability to recognise conflicting priorities and re organise and adjust work as required
  • Skills for manipulating information using highly developed knowledge of a wide range of software with advanced keyboard skills
