Job overview

We are looking to appoint a  Patient Access Supervisor within the Patient Access Services. 

Hours:

11:30  till 20:00 (1x 30 min lunch + 2x 15 min breaks) = 37.5 hours.

These hours are to support our evening team and suit the needs of the service.

To assist with the co-ordination and management of an efficient and effective Patient Access service. In accordance with Trust policies and procedures, and in the most cost effective manner.

To deputise in the absence of the Deputy Patient Access Manager, and ensure the continuity of the service.

To work as a key member of the team within the department to provide operational supervisory support.

To work under supervision and manage own workload and that of others.

Main duties of the job

To supervise on a day to day basis to ensure your areas are working efficiently.

To work alongside your team and escalate any issues to your line manager.

Ability to communicate clearly both verbally and in written form with all levels of staff within the Trust.

Be able to deal with difficult situations both face to face and over the telephone and also conform to the rules of confidentiality.

We require  good computer skills to operate and update several IT software packages used by the Trust and Patient Access. 

To provide training, support and guidance to new starters. 

Ability to adapt to the changing needs of the service.

To be flexible in order to facilitate the demands of the service.

Detailed job description and main responsibilities

To assist with the day to day operational supervision of the defined team within the department.

To assist with ensuring that all staff are fully trained and equipped to undertake their roles, identifying any issues to the Deputy Patient Access Manager.

To co-ordinate the rotation of clerical staff throughout the department, ensuring an efficient skill mix of the multiple tasks to be carried out, including re-organisation of work to ensure that changing priorities are met.

To support the Deputy Patient Access Manager in ensuring that all Patient Access staff are fully trained in departmental procedures, including the operation of all computerised systems within the department.

To support the Deputy Patient Access Manager with the implementation of procedural and policy changes which arise from the further development of the department or Trust.

To communicate effectively and with colleagues at all levels within the Trust and outside agencies using tact and diplomacy at all times.

To update and maintain information stored on departmental databases.

To maintain a dynamic Personal Development Plan demonstrating a clear commitment to continuous education and self-directed learning.

The post holder will be expected to participate in an annual appraisal of their work in line with the Knowledge and Skills Framework (KSF).

In line with the annual personal development plan the post holder will be expected to undertake any training or development required to fulfil their role.

The post holder must attend all relevant mandatory training in health and safety, risk assessment, infection control etc.

Qualifications

Essential criteria
  • 4 GCSE’s passes or equivalent, one subject being English
  • NVQ3 in business admin or equivalent knowledge and experience

Knowledge/Skills

Essential criteria
  • Knowledge and experience of the Health Records service provision, patient administration system
  • Good computer skills to operate and update several IT software packages including the departments own unique database
  • Knowledge of basic computer packages i.e word/excel
