The Acute Provider Collaborative (APC) is one of three Provider Collaboratives in BNSSG ICB. The post is hosted by University Hospitals Bristol and Weston NHS Foundation Trust but the Acute Provider Collaborative Team work across both Acute Trusts in Bristol.

The purpose of the APC is to use our collective experiences, expertise, and resources to work together to ensure that we provide the best care for patients, support and development for our staff and that we are active partners to the wider community.

The Project Support Officer will support the APC Team to ensure that the portfolio of tasks/projects are planned, organised and delivered effectively. This will include supporting the development, monitoring and evaluation of the tasks/projects by providing high quality administrative and organisational support.

The postholder will be required to work flexibly between University Hospitals Bristol and Weston Trust, North Bristol Trust (Southmead), and from home. 

A more detailed list of main duties and responsibilities is included below:

Communication:

  • To act as a point of contact for queries from clinical and non-clinical staff in relation to the Acute Provider Collaborative Programme. 
  • To liaise via telephone and email with other clinical/clerical teams to action urgent diary appointments, meetings or workshops where necessary and ensure that all relevant departments are notified accordingly, and diaries updated to reflect appointments.
  • To be able to communicate effectively when dealing with difficult situations/conversations.
  •  Returning calls and emails promptly and keeping callers updated with information in an effective and efficient way.
  • Escalate queries, capacity problems and general issues to the role’s line manager or relevant team members as appropriate

Administration:

  • To extract data and assist in the production of qualitative and quantitative reports.
  •  Monitor and update programme documents for the Clinical and Corporate programmes of work, including adding of actions and supporting the team in monitoring for their completion.
  •  To assist in organising the monthly Highlight Report and information required for the Quarterly reports.
  • To collate meeting notes and presentations that are used in meetings and workshops and store appropriately.
  • To assist in the development and dissemination of regular comms products.

Qualifications and Training

  • Educated to GCSE, grade C or above (or equivalent) in English Language and Maths
  • Qualified in word processing or audio typing (or equivalent)
  • Business and Administration Level 3 NVQ or equivalent experience

Knowledge and Experience

  • Clerical/administrative experience/Secretarial
  • Understanding of project and programme terminology
  • Experience of dealing with the public, both on the telephone and in person
  • Knowledge of NHS policies and/or procedures
