Facilities Services Assistant

Job overview

An exciting opportunity has arisen for a full time Facilities Services Assistant post.  This role is to provide a professional and courteous administrative and secretarial support to the management team within the Facilities Services team.

You will play a key role in the coordination and administration of the in- house services within the department.

Deputise for Office Manager, covering planned absence or when required to ensure service resilience and performance delivery is maintained. 

Manage the Trust courtesy buses, staff and processes.

Act on own initiative to resolve problems and take appropriate action.  Good organisational skills are essential to manage own workload whilst prioritising office duties within an extremely busy environment.  

Use a wide range of effective communication skills modifying and adapting to a range of situations – including the use of persuasion and tact.

Main duties of the job

Providing support to the management of the Trusts courtesy buses, looking at routes, timetables and resources to ensure the smooth operation of this vital service for patients.

Responsible for developing effective and efficient practices, being able to proactively delegate tasks, be accountable and responsible for meeting strict deadlines.  

Responsible for maintaining, monitoring, and inputting orders and invoices onto the Trust’s financial data base, (Oracle) ensuring accuracy, tracking & filing of invoices, creating purchase orders and recharge invoices , following up on any queries ,maintaining accurate records for the contracted services.  

Responsible for the provision of specialist contract administration to support the specialist areas. This may take the form of updating and working with the Procurement Department on contract wording; manage the logistical process of tendering services.  

Responsible for the auditing of performance data, in relation to identified key performance indicators.

Qualifications

Essential criteria
  • Customer Service/ Business Admin /ITQ or equivalent professional experience.
  • Specific technical/professional qualification (if applicable).
Desirable criteria
  • Secretary qualification or equivalent.
  • Graduate degree in Facilities Management or equivalent.
  • Team leader/management qualification.

Experience

Essential criteria
  • Experience in providing operational solutions to enhance service delivery.
  • Experience of working within the NHS and a good understanding of its processes.
  • Experience of managing staff/a busy clerical/office environment or reception service or project.
  • Prioritising, planning and organising own and others tasks.
  • Experience of dealing with difficult situations and confrontations.
  • Data entry experience and documentation.
Desirable criteria
  • Previous experience of working in NHS.
  • Proven background in operational experience with an emphasis of success within performance delivery.

  • Understanding of Transport & Travel services.
