Job overview

An exciting opportunity has arisen for a well organised individual to join the administration team within our Main Theatres Department. Hours to be covered are 07:30 - 15:30 Monday to Friday.

Main duties of the job

You must be able to work both independently and within a team; liaise with staff at all levels in a confident manner and be willing to learn, and work proactively on your own initiative. You should also have the ability to work well under pressure and have an excellent attention to detail is essential. You should have excellent verbal, written, IT and customer care skills with a good understanding and practical experience of Microsoft applications including Teams, Excel and google sheets.

Being the first point of contact in Theatres does require strong confidence with regards to having to uphold the standards and knowing when to challenge and escalate situations to make sure the staff and patients are safeguarded at all times while following the process for visitors into theatres.

You must be well presented, friendly and welcoming to all and uphold our Values of Together, Safe, Kind, and Excellent at all times.

Essential criteria
  • A-levels or equivalent
Desirable criteria
  • Vocational level 3 or equivalent

Experience

Essential criteria
  • Administrative experience
  • Customer Service experience / dealing with the public and first line enquires
  • Experience supporting new starters and less experienced staff
  • Working within a team and experience of deputising for a team leader
  • Experience of prioritising, planning and organising own tasks and that of others
Desirable criteria
  • Previous experience of working in healthcare or public sector
  • Reception experience
  • Experience planning staff rotas / cover, arranging meetings / managing diaries

Knowledge

Essential criteria
  • Understanding of confidentiality
  • Knowledge of administrative procedures and systems some of which are non-routine such as answering queries, progress chasing and task-related problem solving
Desirable criteria
  • Knowledge of administration procedures and systems
