Job overview

This is a full-time (37.5 hours) post for 22 months.

The post holder will provide high quality administrative services to Research and Development (R&D). They will provide general support to the R&D project lead including administrative and logistical assistance, facilitating study setup and ongoing research support for CPFT hosted and sponsored projects. They will support R&D in the administration of externally funded clinical trials and other investigator-led research taking place in the Trust. 

The post holder will also provide a supervisory role to the band 3 R&D Administrator at the Cavell Centre in Peterborough.  A high degree of independence, flexibility and initiative will be essential for the post. 

Main duties of the job

The post holder will work with the R&D Project Lead to act as a point of contact for researchers to apply for funding for healthcare research ensuring full access to the range of high-quality research management functions residing within the Trust.

They will provide general support to the R&D team based at the Windsor Research Unit and when needed, the Cavell Centre R&D facility. This includes liaison with consultants, managers, nursing and other clinical staff, liaison with local and national organisations as necessary for the functioning of the team. They will have the role of greeting and welcoming research participants to the unit, responding to the queries promptly and ensuring their comfort including booking transport to research visits if required.

Detailed job description and main responsibilities

  • To work with the R&D Project Lead to ensure a smooth process from pre award to study set up and beyond.
  • Assist with the preparation and submission of documents to support research projects within the Trust.
  • To undertake the administration of externally funded research projects including post-award issues and contractual issues as they arise and to organise the invoicing and administration of payments in conjunction with the R&D Finance.
  • Act as a point of contact between the Trust and University members of the team for grant applications.
  • Provide a wide-range of general administrative tasks including copy/audio typing, word processing, photocopying, desk-top publishing, arranging meetings, supporting research delivery staff before and during the visits by greeting participants and ensuring refreshments are provided.
  • Manage an appointments diary for meetings and make appropriate arrangements as necessary, e.g. booking rooms, organising refreshments, travel arrangements, accommodation etc.
  • Receiving and processing incoming correspondence and telephone calls ensuring these are dealt with promptly and appropriately.
  • Support the provision of localised project documentation for research projects.
  • Assist in compiling research study visit files.
  • Assist with the preparation and submission of research study participant’s expense claim forms.
  • Support patient, public, involvement & experience (PPIE) activity working with the PPIE lead.

Education / Qualifications

Essential criteria
  • Educated to a degree level or equivalent experience in a relevant discipline
  • Able to demonstrate and evidence continuous professional development
  • GCP training

Experience

Essential criteria
  • Significant experience of working in a clinical research environment. Some experience must have been in a hospital or equivalent.
  • Experience in maintenance and set up finance trackers and invoice trackers in research setting.
  • Experience of planning and organising own workload and of staff within own span of control
  • Demonstrate awareness of organisational policies and ability to translate into working practice
Desirable criteria
  • Resource management
  • Financial experience in monitoring budgets and preparing project costings

Skills & Abilities

Essential criteria
  • Ability to read, digest and interpret complex documents including varying types of research protocols
  • Evidence of high-level planning and organisational skills, with the ability to prioritise and work to multiple deadlines
  • Ability to accurately interpret and present data in appropriate formats.

Knowledge & Understanding

Essential criteria
  • Understanding of the UK Policy Framework for Health and Social Care Research, the Clinical Trials Directive and ICH guidelines for Good Clinical Practice.
  • Understanding of information needs within a clinical research environment
  • Knowledge of data collection requirements according to Good Clinical Practice
  • Good working knowledge of EDGE and ODP
Desirable criteria
  • Knowledge of the R&D, ethics committee and MHRA approval processes.
  • Knowledge of the use of human tissue in research.
