Job overview

The location of this job is primarily in Ely but occasional travel to Wisbech will be required. This is an on site position.

The Community Diagnostic Centre Management Administrator will act as a key assistant to the Service Manager and wider management team, ensuring the smooth running of day-to-day operations. This is a highly proactive role requiring initiative, discretion, and excellent organisational skills.

You will anticipate needs, manage priorities, and serve as the first point of contact for internal and external stakeholders, enabling the management team to focus on strategic delivery.

Main duties of the job

To support the CDC management team and to provide a full, high quality administrative service.

To deal with enquiries virtually, in person via telephone and email. To become the link for general queries received from various sources relating to CDC. Direct general enquiries to the relevant member of the team if necessary and provide a record of progress.

Highly effective communication skills, including persuading and motivating. Ability to manage and analyse data, and present in a report format.

To manage Outlook in-boxes and reply on behalf of senior managers in their absence.

You will be expected to work independently, anticipate issues, and propose solutions without needing day-to-day direction

To act as ‘first point of contact’ for staff and external parties who are contacting senior managers.

To provide a range of documents e.g. letters, spreadsheets, posters, using relevant software packages (Word, Excel, and PowerPoint).

To co-ordinate the CDC management team meetings – book any meeting rooms, sending out agendas, taking accurate formal and informal minutes or action notes in often highly complex meetings, distributing minutes and action logs in the required time frame, and following up outstanding actions.

To ensure agreed actions at meetings are delivered to agreed timescales, escalating or put in place mitigations if actions are not achieved by deadlines.

Essential criteria
  • Educated to GCSE level or equivalent
  • NVQ level 2 Customer Service/Business Admin/ITQ or equivalent
Desirable criteria
  • Admin or equivalent experience

Experience

Essential criteria
  • Experience of working in a busy clerical/office environment or reception Service.
  • Secretarial and /or administrative experience including minute taking.
  • Prioritising, planning and organising own tasks.
  • Working within guidelines.
  • Experience of dealing with difficult situations and confrontations.
  • Data entry experience and documentation
  • Experience of IT packages – Microsoft office
  • Experience of producing documents to a high standard.

  • Previous experience of working in the NHS
