The Family & Integrated Support Services Division, are seeking a confident individual to join our busy Secretarial Team within the Gynaecology Department at Hinchingbrooke Hospital.
The post reports to a Senior Medical Secretary. The post is for a Band 3 37.5 hrs Monday to Friday.
The successful candidate will be able to demonstrate a flexible, motivated approach to their work as well as preferably having previous experience as a Medical Secretary/secretarial assistant within the NHS.
Validation of 18 week pathways is required, therefore sound knowledge of 18 weeks RTT is essential for this post. Audio typing and word processing (RSA II or equivalent) would be an advantage and therefore desirable for all applicants. Being confident on the Telephone and taking messages and working knowledge of Microsoft Office is also required and good communication skills. Duties for the role include direct support to Medical Staff, dealing with enquiries from internal and external agencies, and liaising with other departments within the Trust.
The role is rewarding and challenging, within a service division, which is continually changing and reassessing its administration systems in line with an ever-modernising NHS service.

Main duties of the job
JOB SUMMARY:
- Validation – e-track queries/Information Services reports
- To provide efficient and comprehensive medical secretarial and administration support within a specialty/department.
- To perform all allocated secretarial and administration tasks required to meet the needs of the service.
- To undergo training as necessary to meet the needs of new developments within the Service.
- To work flexibly across speciality teams as required.
- Step up to cover the Band 4 Senior Medical Secretary when required.
Key Duties:
- Validation – 18 week pathways/E-track queries/Information Services reports
- Dealing with telephone enquires
- Direct administrative support to Consultants’.
- Managing Consultants appointments/Clinic utilisation/Partial booking lists.
- Assist in the preparation of documents for MDT & PTL processes as required.
The above will include:
- Utilising Careflow (Patient Administration System) E-Track, EPRO, EVOLVE, RAS (ERS) (Electronic Referral System) Clinicman to provide an efficient service for patients, staff and visitors, when required.
- To utilise other software packages, as required, to maintain records for audit directly relevant to the post.
- Support the smooth running of the Secretarial offices.

To assist in the provision of an efficient and administrative service required to support Consultants and their medical team to ensure the provision of a patient pathway, which is receptive to the needs of the patient and responsive to Trust requirements.

Essential criteria
- Holds GCSE English Language at Grade A – C (or equivalent
- Demonstrate an understanding of customer care
- Experience of working with general public and/or professionals
- Working knowledge of confidentiality requirements and data protection act
- Ability to prioritise own work load and work well under pressure
Desirable criteria
- Understanding of medical terminology
- Understanding of 18 week pathways
- Knowledge of Hospital Computer systems – Careflow/etrack/Medway/Epro/ICE
