An exciting opportunity has arisen for a motivated and enthusiastic B4 Senior Administrator to work full time (37.5 hours per week) with the OPAC Admin Hub at Phorpres Close, Peterborough supporting our Front of House service.
The successful candidate will have a strong commitment to providing excellent customer care and will be expected to deliver a high standard of admin support to the Front of House service.

The Admin Hub provides an administration service between the hours of 08:00 -20:00, 7 days per week, including bank holidays. The post holder will be required to work flexibly in line with the needs of the service including a minimum of three bank holidays per year.
The postholder will be responsible for providing efficient, effective and timely administrative support to the Front of House service and the District Nurses including liaison with external referrers, Trust staff and admin hub colleagues. We are therefore looking for an individual with excellent people skills, exemplary telephone skills and the ability to remain calm under pressure. The post holder will supervise a team of call handlers/ administrators and take operational responsibility for them and the allocation of work and will therefore be proactive and organised with strong people management skills.

Please note for this role you will be required to travel independently around the county meeting strict time deadlines. You will need to hold a full UK driving licence* and have use of a vehicle. You cannot use public transport for this role as this is not a reliable form of transport and will not allow you to meet service needs. - Supervise a team of call handling/administrative staff including undertaking appraisals, supervision, training and development of band 3 and band 2 staff.
- Provide information and support to managers on the performance and conduct of members of staff and support with all informal and formal processes.
- Allocate and supervise tasks delegated to other members of the administration team.
- Maintain annual leave records for the team, liaising with Line Manager and other managers to ensure appropriate and continuing cover.
- Be responsible for organising and controlling own and others workload ensuring deadlines are observed and duties performed efficiently.
- Work with Line Manager to lead on the introduction and proactive management of any new processes and initiatives.
- Deputise for the Line Manager when directed and required.
- To be responsible for dealing with telephone enquiries and other communications with a high degree of tact, diplomacy and confidentiality.
- Arrange and attend meetings, including booking venues and hospitality if appropriate. To prepare and produce an agenda, collate and distribute all necessary information and documentation, take minutes and action notes as required. Ensure all minutes are issued in a timely manner and ensure agreed actions are appropriately recorded.
- Provide cover as directed by Line Manager for other members of the team in their absence and assist with their workloads as necessary.
- Ensure confidentiality is maintained at all times and sharing of information is done in accordance with Trust policies and procedures.
- Monitor and maintain stocks of stationery and resources, acting as authorised requisitioner to ensure that stocks are replenished.
- Work with the Management Team in the development and implementation of Standard Operating Procedures and Work Manuals.
- Assist in the effective use and maintenance of the office environment and clinical room space in the base, and leading on the introduction of, and working with, systems to manage this effectively.
- Support communication with colleagues and users of the service through negotiation, influencing, listening and understanding, to ensure effective joint working.
- Be aware of the Trust’s Incident reporting systems in line with the Health and Safety and Risk policy requirements.
- Support managers and clinical staff with all aspects of the recruitment of clinical staff in-line with the processes and policies and to ensure that newly appointed staff undergo their local Trust induction.

Education / Qualifications

- Educated to GCE/GCSE (A – C grades, one of which must be English) or equivalent.
- RSA/OCR stage II/NVQ Level 2 in Business Administration or equivalent.
- Able to demonstrate and evidence continuous professional development.
- High standard of written English.

- Evidence of training in leadership and management skills.
- RSA/OCR stage III/NVQ Level 3 in Business Administration or equivalent.
Experience

- Significant experience in senior secretarial /administrative position.
- Experience of staff supervision and management.
- Demonstrate ability to contribute towards service improvement.
- Demonstrate awareness of organisational policies and ability to translate into working practice.

- Secretarial/administrative experience in the NHS within clinical and/or corporate services.
- Previous experience of NHS clinical and corporate governance processes and statutory frameworks.
