Detailed job description and main responsibilities

1. Work as part of the Voluntary Services, supporting the Heart and Soul, and Involvement and Partnerships teams as required, to provide high‑quality administrative and clerical support.
2. Act as a first point of contact for potential volunteers, participants and involvement partners, responding to enquiries in a professional, helpful and courteous manner.
3. Receive, handle and appropriately respond to incoming emails and telephone calls, redirecting queries or taking messages as required, and using initiative to resolve routine enquiries within agreed procedures.
4. Respond to enquiries relating to volunteering, participation and involvement opportunities, providing accurate information and guidance.
5. Distribute relevant information and application packs promptly and ensure follow‑up actions are completed within agreed timescales.
6. Maintain and update accurate records of volunteer and participation recruitment activity using the relevant databases and systems.
7. Deliver effective customer service to staff, volunteers, participants, external stakeholders and partner organisations, using judgement to determine when matters should be escalated to the Voluntary Services Manager or other appropriate leads.
8. Assist with the administration of volunteer and involvement partner recruitment processes, including requesting references, arranging interview dates, supporting health screening processes and undertaking DBS checks in line with Trust procedures.
9. Maintain confidentiality at all times in accordance with Trust policies, information governance and data protection requirements.
10. Produce and distribute the monthly Helping Hands newsletter, supporting content collation, formatting and timely circulation.

Essential criteria
- Excellent computer skills of Microsoft Office (Word, Excel, Outlook and Power Point)
- Ability to tabulate information and input data.
Experience
