Main duties of the job
About the Role
You will play a crucial part in ensuring our consultants, specialist nurses, and medical teams can provide efficient, patient-centred pathways. Your responsibilities will include:
- Validating e-track queries and managing Information Services reports.
- Handling telephone enquiries (internal and external).
- Providing direct administrative support to Consultants and Nurse Specialists.
- Managing and adjusting clinic requests/cancellations using the Clinicman system.
- Monitoring and responding to email inboxes.
- Ensuring the smooth running of the ENT Office, offering comprehensive secretarial and administrative support.
- Deliver efficient and comprehensive medical secretarial tasks to meet service needs.
- Work flexibly across specialty teams as required, adapting to service developments.
- Respond to enquiries from clinics, wards and external stakeholders, ensuring good communication and appropriate referrals.
- Use initiative and tact while maintaining confidentiality at all times.
- Liaise with patients, consultants/teams, pre-assessment centres, wards and other departments, providing excellent service to patients and their families.

Person specification
Education
Essential criteria
- GCSE or equivalent Maths and English
Desirable criteria
- NQV II/III Business Administration
- RSA II typing qualification or equivalent or relevant typing experience
Experience
Essential criteria
- Experience of using MS Office, Word Excel and Outlook
- Demonstrate an ability to work with sensitive and confidential information
- Experience of working with the public and/or professionals
Desirable criteria
- Previous secretarial / administrative experience
- Experience of working in the NHS
Knowledge
Essential criteria
- Knowledge/understanding of the Data Protection Act/Information Governance
Desirable criteria
- Understanding and working practice of NHS performance targets including 18-week referral to treatment times
Key Skills/Abilities

- Competent use of MS packages

- Ability to adhere to policies and procedures
