Main duties of the job

About the Role

You will play a crucial part in ensuring our consultants, specialist nurses, and medical teams can provide efficient, patient-centred pathways. Your responsibilities will include:

  • Validating e-track queries and managing Information Services reports.
  • Handling telephone enquiries (internal and external).
  • Providing direct administrative support to Consultants and Nurse Specialists.
  • Managing and adjusting clinic requests/cancellations using the Clinicman system.
  • Monitoring and responding to email inboxes.
  • Ensuring the smooth running of the ENT Office, offering comprehensive secretarial and administrative support.
  • Deliver efficient and comprehensive medical secretarial tasks to meet service needs.
  • Work flexibly across specialty teams as required, adapting to service developments.
  • Respond to enquiries from clinics, wards and external stakeholders, ensuring good communication and appropriate referrals.
  • Use initiative and tact while maintaining confidentiality at all times.
  • Liaise with patients, consultants/teams, pre-assessment centres, wards and other departments, providing excellent service to patients and their families.

Person specification

Education

Essential criteria
  • GCSE or equivalent Maths and English
Desirable criteria
  • NQV II/III Business Administration
  • RSA II typing qualification or equivalent or relevant typing experience

Experience

Essential criteria
  • Experience of using MS Office, Word Excel and Outlook
  • Demonstrate an ability to work with sensitive and confidential information
  • Experience of working with the public and/or professionals
Desirable criteria
  • Previous secretarial / administrative experience
  • Experience of working in the NHS

Knowledge

Essential criteria
  • Knowledge/understanding of the Data Protection Act/Information Governance
Desirable criteria
  • Understanding and working practice of NHS performance targets including 18-week referral to treatment times

Key Skills/Abilities

  • Competent use of MS packages
  • Good Written and verbal communication
  • Ability to adhere to policies and procedures
  • Organisational skills, able to prioritise own workload, effective time management, use initiative and work to deadlines in an environment of competing pressures
