Job overview

We have an exciting opportunity to join the Colposcopy team at North West Anglia Foundation Trust, as a Colposcopy Coordinator covering Peterborough, Stamford and Hinchingbrooke Hospitals.

As a Coordinator of this service you will have the responsibility of providing efficient, confidential and reliable administration support to the Colposcopy team.  You will also be responsible for managing the colposcopy administrators at Peterborough and Hinchingbrooke Hospitals. 

This is a 12-month fixed-term contract/secondment opportunity with the potential to become a substantive permanent post at the end of the fixed term, subject to organisational requirements.

Main duties of the job

Track Screening and Cancer Pathways: 

  • Support with the collection, collation and maintenance of all colposcopy data using Cyres colposcopy database.
  • Ensure that all colposcopy screenings and cancer patients are being followed up according to Key Performance Indicators (KPIs), in line with the NHS Cervical Screening Programme.
  • Monitor the timeliness and effectiveness of patient care pathways to ensure that targets are being met.

Capacity Management:

  • Proactively identify potential capacity issues 
  • Organise additional clinics or resources as necessary to maintain smooth service delivery.

Staff Coordination:

  • Coordinate annual leave, sickness absences, and ensure there is always sufficient staffing in place to support the service.

Communication:

  • Effective communication is key.  You will need to communicate any changes, challenges, or updates to the rest of the team and ensure information is conveyed clearly.

Workload Prioritisation:

  • You will need to prioritise tasks and delegate responsibilities within the team to ensure that deadlines are met and the quality of care remains high.

Staff Development and Well-being:

  • You will oversee staff development plans, ensuring that team members receive appropriate training and development.

Person specification

Education/Knowledge and Qualifications

Essential criteria
  • Educated to A level or equivalent. A good general education and good command of English
  • Knowledge of the Data Protection Act
  • Excellent oral and written communication skills
  • Ability to maintain a clinical database system
  • Knowledge of Microsoft systems of NHS IT systems, (ICE, pathology and local departmental systems)

Experience

Essential criteria
  • Previous experience in the co-ordination/supervision in an administrative environment
  • Experience of NHS IT systems (ICE, pathology and local departmental systems)
  • Experience of working with the public / dealing with conflict
Desirable criteria
  • Experience of working within the cancer network
  • Colposcopy administrative experience
  • Co-ordination of a clinical department
