Job overview

An exciting opportunity has arisen to join the Colposcopy Administration Team at Peterborough City Hospital on a fixed-term basis to provide maternity leave cover.

The successful candidate will play a key role in supporting the smooth running of the Colposcopy Service by providing comprehensive administrative support to the Consultant Colposcopists and Nurse Colposcopists. Working as part of a dedicated team, you will be responsible for coordinating patient pathways, managing appointments, maintaining accurate records, and ensuring effective communication between patients and clinical staff.

This role requires excellent organisational and communication skills, attention to detail, and the ability to work efficiently in a busy healthcare environment while delivering a high standard of patient-focused service.

Main duties of the job

Key responsibilities include:

  • Providing administrative support to the Colposcopy clinical team.
  • Managing patient appointments, correspondence, and clinic schedules.
  • Maintaining accurate patient records and data systems.
  • Communicating effectively with patients, clinicians, and multidisciplinary teams.
  • Supporting the delivery of a high-quality, efficient, and compassionate service.

Detailed job description and main responsibilities

The post holder will be responsible for managing and coordinating the Colposcopy patient pathway, ensuring patients progress through referral, diagnosis, treatment and discharge within national waiting time targets. This includes tracking patients, managing appointments, maintaining failsafe systems, communicating results, responding to patient and GP enquiries, and proactively identifying and resolving pathway delays.

The role also provides administrative support to the Colposcopy Multidisciplinary Team (MDT), including attending meetings, preparing patient lists, ensuring clinical information is available, recording outcomes, and maintaining MDT trackers to support timely clinical decision-making.

In addition, the post holder will be responsible for accurate data collection, analysis and reporting. This includes maintaining local and national databases.

Education and Qualifications

Essential criteria
  • Good general level of education to GSCE or equivalent Maths and English Literature
Desirable criteria
  • Previous medical secretarial experience
  • NVQ III Business & Administration

Experience

Essential criteria
  • Previous Administration experience
  • Experience of working with the public and/or professionals
  • MS Office, Word, Excel, and Outlook
Desirable criteria
  • Experience of working in the NHS and understanding of medical terminology
  • Experience of using NWAFT IT systems

Knowledge

Essential criteria
  • Knowledge /understanding of the Data Protection Act
  • Ability to facilitate change within the work area
Desirable criteria
  • Understanding and working practice of NHS performance targets including 18-week referral to treatment times

Key skills

  • Can demonstrate good standards of written and verbal communication
