Job overview
This post is Fixed Term or Secondment for 6 months until 31st March 2026 due to the needs of the service.
The successful candidate will provide comprehensive administrative and clerical support to the Policy & International Health Directorate.
This includes; supporting the coordination of services, such as maintenance of facilities and materials, supporting the dissemination and coordination of resources and the planning of meetings/events.
The postholder will be required to communicate and liaise with staff and members of partner organisations, produce work to deadlines whilst ensuring compliance with Public Health Wales policies.

Main duties of the job
• Support the coordination and dissemination of resources using systems such as WordPress
• Process orders of resources and supplies via the procurement systems
• Coordinate translation requests
• Organise and support the planning of meetings, events and conferences; including booking venues and taking formal minutes, arranging equipment, preparing papers/documentation, registering delegates and arranging refreshments
• Organise and process hotel and travel arrangements
• Provide a diary management service with the ability to resolve conflicting diary appointments and schedules
• Provide support to business and project processes
• Managing and maintaining office systems ensuring that information is appropriately and securely stored, filed and retrievable using SharePoint
• Good understanding and knowledge of a full range of administrative procedures and organisational procedures
• Provide a comprehensive, accurate administrative support, including drafting standard letters, editing and formatting reports ensuring a high standard of presentation
• Experience and knowledge in the use of MS Office Suite including, but not limited to, Word, Excel, Outlook and Teams.
The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.

Essential criteria
- NVQ Level 3 or equivalent level of experience.
Experience

- Demonstrable experience in an administrative role.
- Experience of communicating with all levels of professional staff and the Public.
- Demonstrated ability to handle confidential and sensitive information with discretion, including secure record-keeping.
- Experience of transcribing and minute taking.
- Working experience of Microsoft Office Suite, including but not limited to MS Word, Excel, Outlook and Teams.
Knowledge
Essential criteria
- Understanding of up-to-date administrative support practices, including digital protocols, calendar and meeting management, and corporate governance procedures.
- Working experience with digital document and records management systems (EDRMS), with a working knowledge of secure filing practices and version control.

- Willingness and ability to travel between sites, including regular travel to the head office location (CQ2, Cardiff).
