Job overview

An opportunity has arisen within the Clinical Musculoskeletal Assessment and Treatment Team,  (admin office based in Glangwili) for TWO administration and clerical officers. We are looking for an enthusiastic and motivated individual to provide general administration support to the multi-disciplinary team.

With 2 positions available (37.5 hours and 22.5hours), the successful candidates will be required to support the delivery of a comprehensive and quality secretarial and administration service to the CMATS team.

The post holders will possess excellent communication skills so as to sensitively handle telephone dialogue with patients and professionals.

The role will involve undertaking all administrative processes associated with patient activity including typing of clinical letters, and you must be aware of the highly confidential nature of this role.

Main duties of the job

Experience of Microsoft Word, Excel, Power Point, and E-Mail, coupled with proven secretarial skills (including audio typing skills) is essential. Knowledge and working towards medical terminology qualifications is desirable.

You will undertake a wide-range of duties including receipt and distribution of mail, audio transcription, and the typing of highly sensitive letters and reports, maintaining confidentiality at all times, in addition to operation of the Health Board’s patient database system.  You will be expected to demonstrate excellent organisation skills and be flexible and adaptable in your approach to work.  You must be able to work on your initiative, use tact and diplomacy where appropriate and possess excellent communication skills.

Hywel Dda University Health Board plans and provides NHS healthcare services for people living in Carmarthenshire, Ceredigion, Pembrokeshire, and bordering counties.

Essential criteria
  • Level 3 qualification (e.g. A Levels, AS Levels, NVQ3, RSA II) or equivalent demonstrable experience of administrative / office skills and knowledge
Desirable criteria
  • NVQ Level II Business Administration
  • Working towards a medical terminology qualification

Experience

  • Previous secretarial and/or office administration experience.
  • Experience using IT systems, word, excel, outlook.
