Job overview

The Tritech & Innovation Project Support Officer provides essential project coordination, administration and information management support to the Tritech Institute, helping deliver innovation, research and evaluation projects across Hywel Dda University Health Board. The role supports project governance, stakeholder engagement, meetings and events, data management, reporting and communications, while ensuring projects are delivered effectively and in line with governance requirements

The post requires strong organisational and communication skills, experience in project or administrative support, proficiency in Microsoft Office and digital systems, and the ability to work independently while managing multiple priorities

 The role involves managing multiple workstreams simultaneously, maintaining project documentation, monitoring actions, risks and issues, and using sound judgement to identify and escalate concerns where appropriate. The post holder also supports the preparation of project plans, reports, evaluation materials and benefits realisation documentation while ensuring robust document management, version control and audit trails are maintained.

Main duties of the job

The role requires excellent communication and relationship management skills, working closely with a broad range of internal and external stakeholders including clinical teams, academic partners and Health Board departments. 

The post holder is responsible for responding to enquiries, facilitating effective collaboration between organisations and supporting the development of communications materials such as project updates, newsletters, webpage content and social media communications. A high degree of professionalism is required when handling confidential, sensitive or complex information.

Key responsibilities include:

  • Coordinating project activities and maintaining project documentation, action logs, risk registers and governance records
  • Organising meetings, workshops and events, preparing agendas and papers, and producing accurate minutes
  • Managing information and records using SharePoint, Teams and other MS365 tools, ensuring data accuracy and compliance with information governance requirements
  • Supporting data analysis, benefits realisation and reporting, including the use of Power BI dashboards and project tracking systems
  • Providing administrative support to the Deputy Head of Tritech, including diary management, procurement and contract administration activities
  • Working collaboratively with clinicians, digital teams, academic partners, industry representatives and external organisations to support innovation and evaluation initiatives

Qualifications and Knowledge

Essential criteria
  • Level 4 qualification (e.g. foundation degree, higher national diploma, diploma in higher education, NVQ4, BTEC) OR equivalent demonstrable experience of business administration/project management.
  • Project management qualification (e.g., PRINCE2 Foundation) or equivalent experience of supporting projects
  • Microsoft Office Specialist (MOS) certification or proficiency in Microsoft Office applications, including designing and maintaining project tracking databases (e.g. Excel, Access, SharePoint lists), with data structured to support reporting and analysis.
Desirable criteria
  • PRINCE2 Practitioner
  • Managing Successful Programmes
  • Qualification or training in improvement, research, innovation, or NHS service development.
  • Understanding of NHS structures, digital systems, and innovation pathways.

Experience

Essential criteria
  • Experience of working in a busy administrative, project support or coordination role, organising meetings, workshops or events, including the preparation of agendas and accurate formal minutes
  • Experience of creating and maintaining databases or shared digital record systems (e.g. Excel, shared platforms, REDCap), ensuring data is accurate, up to date and accessible
  • Experience of using Power BI to analyse data and produce routine dashboards and performance reports to support service or project monitoring
  • Experience of using a procurement system (e.g. Oracle)
Desirable criteria
  • Experience of supporting a project manager in an NHS environment
  • Experience of working independently
  • Experience working in a multi-disciplinary environment
  • Experience working in health, academic, research, or innovation settings
