Job overview

**This position is open to staff working at the Trust in the ‘ECT Family’ this includes current East Cheshire NHS Trust employees, both NHSP and ECT bank staff, ISS staff and volunteers at the Trust. Unfortunately, we cannot accept applications from applicants not listed within these groups.**

An exciting opportunity has arisen for an experienced administrator to join the Medical Education Team at East Cheshire Trust. To provide secretarial and administrative assistance to the Buckingham University Undergraduate Tutors, in support of the organisation of medical undergraduate placements and training provision. In addition you will also provide general administrative support for Medical Education activities and contribute to the smooth day to day running of education and training department.

Hours per week: 37.5

Main duties of the job

  • Provide administrative and secretarial support to the Buckingham University Undergraduate Tutor & Educational Fellows in the organisation and delivery of the their Undergraduate Training Programme
  • Main point of contact for student queries relating to their timetables, assessments and tutoring
  • Main point of contact for supervisors and education leads relating to the undergraduate programme and student timetables
  • Main point of contact for the Unviersities of Buckingham and Manchester administration teams
  • Provide general administrative support for Postgraduate Medical Education
  • Build and maintain collegiate working relationships with a wide range of academic and NHS/external organisations.
  • Maintaining comprehensive and robust systems and databases to enable the co-ordination and monitoring of our medical student placements and teaching sessions.
  • Work collaboratively with the Centre Administrative Team, including library staff to support the smooth day to day running of Education & Training Centre activities ie. Switching on IT equipment, loading presentations, preparing rooms for skills sessions etc.
  • Working alongside the educational fellows to support student induction processes.

Qualifications

Essential criteria
  • Educated to GCSE Level or equivalent in 5 subject, English and Maths essential
Desirable criteria
  • Suitable academic qualifications to A Level or NVQ 3 (Admin/ Customer Services) or equivalent

Knowledge & Skills

Essential criteria
  • MS Office software, especially Excel, Access and Word, e-mail and internet Presentation equipment (audio-visual)
  • Presentation equipment (audio-visual)
  • Excellent documentation and record keeping
  • Excellent communication skills (verbal and written)
  • Attention to detail and accuracy with good IT skills
Desirable criteria
  • ECDL
  • Medical staffing/education structures
  • Teaching/training students
  • Take and transcribe minutes

Experience

Essential criteria
  • Administration or General Office environment experience
  • Customer Service experience
  • Working as part of a team
Desirable criteria
  • Previous employment in NHS, Training or HR Secretarial experience
