Job overview

**This position is open to staff working at the Trust in the ‘ECT Family’ this includes current East Cheshire NHS Trust employees, both NHSP and ECT bank staff, ISS staff and volunteers at the Trust. Unfortunately, we cannot accept applications from applicants not listed within these groups.**

The post holder plays a key role in ensuring the effective and efficient operation of outpatient services . This includes maximising the use of clinic room capacity, supporting the outpatient room‑booking system, and supporting initiatives that improve productivity and patient flow.

Working closely with clinical, operational, and administrative teams, the role ensures that outpatient clinics are appropriately supported, room utilisation is optimised, and any issues affecting capacity are identified and resolved promptly. The post holder will also provide  support to outpatient reception teams , ensuring staffing levels, training, and day‑to‑day operations run smoothly.

A proportion  of the role involves managing digital systems related to room booking and patient flow, producing regular utilisation reports, and contributing to service improvement projects. The post holder is expected to maintain strong working relationships, uphold Trust policies, and support the delivery of a responsive, patient‑focused outpatient service.

Main duties of the job

  • Coordinate outpatient room utilisation, working with clinical and operational teams to resolve issues and support additional capacity.

  • Support the outpatient room‑booking and patient‑flow systems, including user support, training, and account creation.

  • Produce regular reports on room utilisation and contribute to efficiency and transformation projects.

  • Facilitate specialty 6‑4‑2 meetings and provide relevant data to support improved clinic capacity.

  • Provide support to outpatient reception teams, including rotas, appraisals, recruitment, and training.

  • Respond to staff and patient enquiries or concerns and support the investigation of incidents and complaints.

  • Maintain stock levels for reception areas and ensure adequate staffing across  outpatient .

  • Work in line with Trust policies, including confidentiality, data protection, equal opportunities, and health and safety requirements

Qualifications

Essential criteria
  • Educated to A level or equivalent experience
  • Educated to NVQ level 3 or equivalent experience
  • ECDL (European Computer Driving Licence) or equivalent qualification/experience
Desirable criteria
  • Degree in relevant subject

Knowledge & Skills

Essential criteria
  • Comprehensive knowledge of a range of outpatient procedures and pathways, including complex process change and management.
  • Experience of system management and troubleshooting
  • Good verbal and written communication and interpersonal skills to build relationships with teams, and enable understanding of an outpatients department demands and challenges.
  • Awareness of current NHS priorities and targets
  • Proficient in use of NHS electronic patient records, PAS (Patient Administration System), and clinic management software Understanding of confidentiality and the Data Protection Act 1998
  • Knowledge of relevant HR/Health and Safety policies and legislation

Experience

Essential criteria
  • Previous team leader experience
  • Experience of clinic scheduling and management of clinic changes
  • Experience of instructing/training others
  • Committed to developing individual staff and teams
  • Experience of managing administrative services in an NHS setting
Desirable criteria
  • Experience of managing projects
  • Experience of managing room utilisation and booking
