Job overview

**This position is open to staff working at the Trust in the ‘ECT Family’ this includes current East Cheshire NHS Trust employees, both NHSP and ECT bank staff, ISS staff and volunteers at the Trust. Unfortunately, we cannot accept applications from applicants not listed within these groups.**

An exciting opportunity has arose in the Health Records Library for a Health records and Prep  Supervisor.

As a  Health Records  Library and Prep  Supervisor  there is a  responsibility to support the service and operational manager(s) in effectively managing the overall Health records Library.  The role will be fundamental in the day to day running to ensure that all clinics have the notes ready for clinic and the resource to complete the task required.  The role will manage the administrative teams on a day to day basis ensuring implementation of changes to ensure a clear operational streamlined approach is delivered to the team supported by standard operational procedures. 

Hours per week: 37.5

Main duties of the job

The role will have overrall responsibility of the Health Records Libary to ensure dealines are met and resourse and staff is adequate to  run  the service.  

The Supervisor role will be required to do all aspect within thier remit to perform all HR aspects for the team.  The supervisor will also be required to answer both written and verbal complaints and ensure resolution.  The role will require a openness to change in line with the Trust and have a good understanding on retention of records . 

The Supervisor will need to have excellent communication skills, attention to detail and adaptability .

Qualifications

Essential criteria
  • Educated to degree level or equivalent.
  • Possess a level of experience usually gained in the NHS or Public Sector employment.
Desirable criteria
  • ECDL (European Computer Driving Licence)

Knowledge & Skills

Essential criteria
  • Awareness of current NHS priorities and targets in particular outpatient targets and Choose and Book agenda.
  • Current detailed knowledge of NHS PMS/Choose and Book including clinic set up and clinic management.
  • Understanding of confidentiality and the Data Protection Act 1998
  • Knowledge of relevant NHS/Health and Safety policies and legislation
  • Sound knowledge of capacity and utilisation management
  • Ability to work to and deliver deadlines
  • Ability to plan and manage change
  • Advanced Computer Literacy
  • Ability to prioritise/manage a diverse and heavy workload and the workload of others.

Experience

  • Experience of the hospital environment and outpatient booking processes

  • Operational experience of running a fully managed call centre function.
