Job overview
Previous applicants need not apply
We are seeking an enthusiastic, motivated and highly organised Support Secretary to join our Urology team within the Surgical Specialties CBU. This part-time role will provide comprehensive administrative and secretarial support to our senior Medical Secretaries, consultants and other clinical staff within the service, with the flexibility to support other specialties within the CBU as required.
The postholder will play a key role in delivering a high-quality service to both patients and clinical staff. Duties will include producing accurate clinical correspondence using digital dictation systems (BigHand) and our AI voice-to-text technology, Lyrebird. The successful candidate will also act as a first point of contact for non-clinical patient queries, appointment information, and communication with internal and external colleagues.
This is an excellent opportunity to become part of a friendly, supportive and fast-paced department where strong teamwork and excellent communication are essential. The postholder may also be required, on occasion, to provide administrative support to other services across the Trust in line with service needs.
Main duties of the job
-
Produce timely and accurate clinical correspondence, including outpatient and discharge letters, using audio typing and digital dictation tools.
-
Provide a full range of secretarial support for our Senior Medical Secretaries and clinical staff, including managing telephone calls, queries and day-to-day administrative tasks.
-
Respond to non-clinical enquiries from patients, relatives, GPs, Consultants and other Trust staff.
-
Liaise effectively with departments across the hospital to support smooth patient pathways.
-
Prioritise and organise workload independently, ensuring deadlines are met.
-
Maintain confidentiality and demonstrate tact, diplomacy and professionalism always.
-
Use IT systems such as Word, Excel, email and internet applications confidently.
- Work flexibly to support other specialities within the CBU and around the Trust.
Working for our organisation
Known locally known as ‘WHH’ – the Trust is a fast-paced, ambitious organisation that is caring, compassionate, innovative and focused on the best outcomes for its patients and the employment experience of its staff. It is both aspirational and inspirational – driven to be outstanding for its patients, its staff and its communities and committed to being the best place to receive healthcare, work and learn.
Straddling two neighbouring boroughs of Warrington and Halton it is part of the Cheshire and Merseyside Integrated Care system. It is geographically ideally positioned to meet the growing healthcare needs of the 330,000 population of both boroughs and beyond. A dedicated planned care centre located at Halton Hospital in Runcorn enables elective procedures to continue uninterrupted by the patient flow challenges of the ‘hot’ site at Warrington, where urgent, unplanned and critical care, maternity and women’s and children’s services are provided.
A CQC-rated ‘Good’ organisation with ‘Outstanding’ features, it is working towards university hospital status having achieved teaching status in 2019 and is working in partnership with the University of Chester and others in this regard.
A workforce of nearly 5,000 across both sites comprises more than 50 nationalities and as an equal, diverse and inclusive employer the Trust is proud to have achieved both Disability Confident Leader and Navajo LGBTQ+ Charter Mark accreditations.
