Job overview

To assist the head of communications with effective and efficient administration support, ensuring that a high-quality service is always delivered. Support the Trust’s foundation trust membership, governor and wider engagement activities across the Trust.

Main duties of the job

Membership

  •  Support the Council of Governors with the implementation of the Membership Strategy.
  • Organise and facilitate membership events, including events to target new members.
  • Recruit new members
  • Keep accurate records of membership and constituencies
  • Input into the annual membership newsletter and routine membership communications
  • Proactively encourage Governor nominations

Governor engagement

  • Liaise with Governors to inform them of appropriate engagement opportunities.
  •  Arrange engagement opportunities and accompany Governors to these.
  • Support Governors to enable them to engage with stakeholders.
  • Record and report on Governor engagement.

Governor elections

  • Assist with Governor election timetables.
  • Ensure membership data for voting is readily available and accurate for passing to the Returning Officer.
  • Ensure election information is detailed on the Trust’s website.

Administrative

  • Provide a high-quality administrative service to the head of communications and wider team
  • Deploy urgent and all user communications messages via appropriate communication channels including email, ticker tapes and social media.
  • Assist with the membership reports and newsletters.
  • Maintain the governor toolkit – keeping information relevant and up to date.
  • Deal promptly and courteously with telephone calls and emails.
  • Act as a brand ambassador by upholding the NHS and Trust corporate style and identity.
  • Arrange and co-ordinate events on Microsoft Teams

We’re an NHS community and mental health provider Trust based in Cornwall and the Isles of Scilly.  We deliver community and hospital-based care to improve people’s physical and mental health.  We also provide specialist support to people with dementia or a learning disability.

Approximately 568,000 people live here.  A third of people who live in Cornwall are supported by acute hospital services in Devon.  As a result, we also work closely with our partners in Devon.  In the summer, and during other holidays lots of people choose to visit the area.  This increase the numbers of people who use out services.

  • Effective time management skills and the ability to prioritise work.
  • Excellent organisational, interpersonal and IT skills.
  • Ability to communicate with people at all levels.

Education / Qualifications and Relevant Experience

Essential criteria
  • NVQ level 3 qualification or equivalent relevant experience
  • Good standard of education including English and Maths
  • Experience of working in a busy office environment using Microsoft Office programmes
  • Experience of database and diary management
  • Experience of meeting preparation and event organisation.
Desirable criteria
  • Database qualification
  • Knowledge of or experience in electoral processes
